Senior Executive ‐ Personal Assistant (1 year contract)

We are on the lookout for a dedicated individual to provide secretarial and administrative assistance to the Exco Director, maintaining utmost confidentiality in all bearings thereby, ensuring the effective functioning of the assigned duties in order to facilitate the accomplishment of the Director’s executive functions.
KEY RESPONSIBILITIES
- Manage the Exco Director’s Calendar by closely following up on the appointments scheduled whilst, coordinating with the relevant internal/ external parties to arrange same and attend to all routine and non-routine correspondence, confidential correspondence independently or with Exco Director advice whilst handling the Exco Director’s emails with utmost confidentiality and efficiently.
- Schedule and follow up on relevant meetings of Exco Director and prepare meeting minutes as and when the need arises and forward same to the relevant persons and follow up on any action plans/items in a timely and accurate manner.
- Coordinate and monitor all visits (internal and overseas) of the Exco Director in an efficient and effective manner, liaising with relevant persons.
- Maintain confidential/ general files and records via an efficient and user-friendly filing system in keeping with the MOS Lean System.
- Process monthly salaries on time for payment and prepare any other letters such as increments, confirmations, etc for the Senior Leadership Team.
- Follow up on all Legal contracts in order to meet all legal requirements in a timely and effective manner.
- Manage/ support collation of information of employees eligible for service awards and ensure timely purchase and distribution of Gold Coins to relevant plants.
- Support and supervise tasks pertaining to the couriering of departmental packages by liaising with DHL on a continuous basis to ensure effective delivery of same.
- Monitor the smooth functioning of the foreign travel related activities for the cluster whilst ensure that travel is maintained within the allotted monthly travel budget of each business team, monitor the entire travel function and offer guidance to the Travel Coordinator at all times and follow up on the monthly travel report that is formulated by Finance.
- Assist in organizing company functions/ events, by liaising and coordinating with relevant parties (both internal and external) on logistical arrangements in a timely and efficient manner.
- Obtain stationary requests on a monthly basis and ensure the timely ordering of same in order to fulfill the stationary requirements of the department.
KNOWLEDGE AND SKILLS
- Degree in Secretarial studies or other relevant qualification.
- 5-6 years of work experience in a similar capacity.
- Sound communication and Interpersonal skills.
- Good organization skills and proficiency in English.
- Good IT skills (Word, Excel, Power Point etc.)
