This role can be based in various offices on a hybrid basis. This role reports to the Director of Enterprise Messaging.


Position Summary:

 

The Enterprise Messaging Manager leads the administration, security, and ongoing operation of the firm's messaging environment, ensuring reliable, secure, and compliant communication services. This role oversees messaging infrastructure and staff, drives technology initiatives, manages operational processes, and provides technical leadership to support business needs and protect organizational data.


Key Responsibilities:


  • Develops, maintains, and executes firmwide implementation and migration plans for enterprise messaging services, including messaging-related policy changes, platform upgrades, system configurations, and service transitions.
  • Establishes and maintains technical procedures, operational standards, and supporting documentation for enterprise messaging platforms, security controls, administrative processes, and incident-response activities.
  • Designs, administers, and maintains enterprise messaging systems and related services, including email, email archiving, spam filtering, messaging security platforms, instant messaging, internet mail gateways, and remote mail access systems.
  • Develops and improves email-security controls, including email authentication protocols (SPF, DKIM, DMARC), Spam, Virus and content filtering and URL rewriting and attachment scanning.
  • Manages messaging-related access controls, monitoring, system configuration standards, operational controls, and documentation to support security, compliance, reliability, and effective administration.
  • Maintains messaging-related tools, automation, analytics utilities, and operational processes used to monitor system performance, identify trends, support capacity planning, and improve the security and reliability of messaging services.
  • Serves as the messaging point of contact during security response incidents, providing guidance on messaging-system impacts, and coordinating required system changes.
  • Provides Tier 3 technical support on messaging technologies, troubleshooting, and issue resolution.
  • Administers and supports Microsoft Active Directory components and integrations as they relate to Microsoft Exchange and enterprise messaging services.
  • Creates, tests, maintains, and deploys scripts and automation tools to support messaging-system administration, monitoring, reporting, configuration management, and operational efficiency.
  • Participates in the development, maintenance, testing, and execution of disaster-recovery and business-continuity plans for enterprise messaging services.
  • Clearly defines job expectations for individuals and teams, provides training, and effectively evaluates performance with input from technology leadership, as applicable.
  • Monitors and evaluates team performance with a focus on results and works effectively with Talent Services to initiate corrective or disciplinary actions as appropriate.
  • Makes decisions regarding hiring recommendations, performance management, and training with input from technology leadership, as applicable.
  • Participates in the messaging on-call rotation and provides timely support for critical incidents, urgent service issues, maintenance activities, and other after-hours needs.
  • Performs other related duties and responsibilities as assigned.

Education & Prior Experience


  • Bachelor’s Degree or equivalent experience preferred.
  • A minimum of eight (8) years of experience managing large enterprise messaging systems in a law firm or professional services environment preferred.
  • Microsoft Exchange related certifications preferred.
  • Proofpoint related certifications preferred.

Technology


  • Expert knowledge of email security and authentication measures (SPF, DKIM, DMARC).
  • Significant experience implementing email delivery and security platforms including message/spam filtering, transport threats and vulnerabilities, intrusion detection, antivirus, and antimalware.
  • Expert knowledge of Microsoft Exchange Onprem management and troubleshooting.
  • Expert knowledge of Microsoft Exchange Online Protection and Exchange OnlineExpert knowledge of MS Active Directory and LDAP.
  • Expert knowledge of Proofpoint security products.
  • Extensive experience with messaging in a large, multi-office WAN environment.
  • Demonstrated knowledge of email archiving management.
  • Expert knowledge of windows servers and desktop messaging software.
  • Experience using firm-approved AI tools (e.g., Copilot, ChatGPT, or similar platforms) to support professional and managerial work, applying judgment to validate outputs and maintain accountability for final deliverables.
  • Models and promotes responsible AI use, including the adoption of emerging AI technologies, emphasizing privacy, confidentiality, and appropriate human oversight.

Physical Requirements:


  • While performing the duties of this job, the employee is occasionally required to move from workstation or desk throughout the work area to work independently or with a team to meet with colleagues or supervisor and retrieve work assignments.
  • This position may also be sedentary and require the employee to sit for extended periods of time.
  • Requires manual dexterity to use a phone, enter data into a computer, handle objects, and use office equipment.
