Where is the work:

Trane is seeking an organized, detail-oriented remote Digital Services Coordinator to join our operational service team. In this role, you will be responsible for planning, coordinating, controlling, and directing operational resources to support remote-based service delivery. You will coordinate the execution of service agreements, maintenance contracts, On-Demand calls, and repair projects. This includes scheduling technicians, evaluating work queues, and tracking job completion within financial and quality standards. As the central communication hub between remote technicians, Project Managers, and Service Managers, your work directly drives team efficiency and high customer satisfaction.


Key Responsibilities


Scheduling & Resource Dispatch

·       Resource Scheduling: Coordinate and schedule operational resources—specifically remote service specialists—to project assignments.

·       Workload Balancing: Actively manage daily technician schedules to balance workloads across the team, optimize response times, and ensure timely resolution of customer requests.

·       Queue Evaluation: Monitor incoming service queues and work orders; assess priority, scope, billing parameters, and site requirements before assignment.

·       Operational Prioritization: Coordinate with Technician Leads and the Account Team to prioritize emergency service, warranty work, and scheduled contract maintenance.

Operational Coordination

·       Cross-Departmental Collaboration: Collaborate closely with Contract Administration, Estimating, and Service Operations teams to set up work orders and maintain contract milestones.

·       Customer Inquiry Management: Maintain customer satisfaction by promptly acknowledging inquiries, investigating service discrepancies or delays, and routing special requests to appropriate team members.

Documentation, Data Tracking & Reporting

·       Case Management: Generate cases, track status updates, and ensure documentation and other deliverables meet company quality guidelines.

·       Billing Verification: Review completed technician paperwork, verify labor hours and materials used, and forward verified documentation to Project Administrators for billing and closeout.

·       Administrative Operations: Assist with operational data maintenance and other ongoing administrative functions related to service fulfillment.

·       System Maintenance: Maintain clean records across operational databases, dispatch software, and documentation portals.


Qualifications & Skills


·       Communication: Exceptional verbal, written, and phone communication skills; comfortable interacting across phone, email, and instant messaging platforms.

·       Organization & Multitasking: Proven ability to organize complex schedules, manage high-volume daily interruptions, and prioritize urgent operational needs.

·       Technical & Software Proficiency: Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Windows operating systems. Experience with dispatch software and CRM platforms is an asset.

·       Attention to Detail: Meticulous approach to data validation, verification, time tracking, process development, standards adherence, and reporting.

·       Teamwork & Problem Solving: Demonstrated ability to work independently in a fast-paced environment while actively collaborating with remote teammates.

·       Schedule Flexibility: Willingness and flexibility to support occasional overtime or weekend coverage as business needs dictate.


Work Environment & Travel


·       Travel: Occasional travel may be required for regional team meetings, training sessions, or branch visits.


Annual Base Salary Range or Hourly Base Pay Range:

$63,111.66 - $87,639.99
