Position Summary: Billing & Administrative Assistant

Hours: 8am-5:00pm (standard)

Pay:

  • Rate: $25-$35 depending on experience (D.O.E.) To be discussed

  • Pay cycle: every 2 weeks

  • Direct deposit and physical checks are available

Job Function Overview:

  • Billing for Customer Jobs

  • Data Entry (such as Expenses)

  • Employee Recruitment & Onboarding

  • Misc HR/Employee (ordering and tracking uniforms, PTO, footwear reimbursement, etc.)

  • Various Compliance & Regulatory Procedures

  • Field Work With Crew (must work with field crew a minimum of 60 hours per calendar year)

  • Miscellaneous Computer Related Tasks (genres of Marketing, Vendor Support, client onboarding, and others)

Job Function Detailed - Key Tasks & Duties (not exhaustive/limited to):

§ Billing for Customer Jobs

  • Prepare cost sheet for each job

  • Calculate storage charges and fees

  • Prepare and email invoices

  • Follow up on outstanding invoices

§ Expenses - Data Entry

  • Enter credit card transactions into accounting software

§ Employee Recruitment & Onboarding

  • Post jobs and managing applicant tracking

  • Onboarding paperwork

  • Scheduling drug screening

  • Scheduling background screening

  • Add & remove drivers to insurance policy

§ Employee / HR Miscellaneous

  • Uniform & PPE ordering, tracking, and issuing to employees

  • Safety footwear reimbursement coordination and tracking

  • PTO tracking

§ Compliance / Regulatory Related

  • IS Networld: Annual compliance, training, etc.

  • FMCSA / USDOT

  • Driver qualification files

  • IFTA reporting

  • Fire extinguisher inspections

  • Various equipment inspections

§ Field Work with Crew

  • Must work a minimum of 60 hours per calendar year in field with crew (this may include evening and Saturday’s)

§ Marketing, Vendor Support, & Miscellaneous

  • Create contact cards in Outlook / CRM software

  • Complete new vendor applications

  • Complete new customer applications/onboarding forms

  • Assist with marketing tasks

  • Assist with sundry of other miscellaneous tasks as needed

  • List assets for sale (as acquired from relocation jobs

  • Quickbooks (WorkSpace will train)

  • Microsoft Word, Excel, Outlook

  • Background checks apply (at hiring and routine)

  • Drug testing applies (at hiring, random, reasonable suspicion, at cause)

  • Eligibility to work in the United States required per the Immigration Reform & Control Act
