Wellvana is seeking a dependable, organized, and professional Administrative Assistant to support daily office operations. The Administrative Assistant will provide administrative and clerical support to management and team members, assist with scheduling and documentation, respond to communications, maintain records, and help ensure the office operates efficiently.

The ideal candidate is organized, detail-oriented, professional, and comfortable managing multiple priorities in a fast-paced office environment.

Responsibilities

  • Provide day-to-day administrative support to management and staff.
  • Answer and direct incoming phone calls and respond to general inquiries.
  • Monitor and respond to emails and other business communications.
  • Schedule meetings, appointments, and other activities as needed.
  • Maintain calendars and assist with scheduling changes.
  • Prepare, format, scan, copy, print, and organize documents.
  • Enter and maintain accurate information in company databases and spreadsheets.
  • Maintain organized electronic and physical filing systems.
  • Prepare reports, spreadsheets, correspondence, and other documents.
  • Assist with data entry and document processing.
  • Coordinate office supplies and place orders when needed.
  • Maintain office records and ensure documents are properly organized.
  • Assist with customer, vendor, employee, and business communications.
  • Welcome visitors and provide professional assistance when needed.
  • Assist management with special projects and administrative assignments.
  • Coordinate information between departments to help ensure tasks are completed on time.
  • Track outstanding administrative tasks and follow up when necessary.
  • Assist with preparing presentations, reports, and meeting materials.
  • Maintain confidentiality of company, employee, customer, and business information.
  • Assist with basic billing, invoice processing, and administrative recordkeeping when needed.
  • Help maintain an organized, professional, and productive office environment.
  • Perform other administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • Previous administrative, clerical, office, or customer service experience preferred.
  • Strong computer skills.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook, preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Excellent attention to detail.
  • Ability to multitask and prioritize competing responsibilities.
  • Professional telephone and email communication skills.
  • Ability to maintain confidentiality.
  • Ability to learn new software and internal systems.
  • Dependable attendance and punctuality.
  • Ability to work independently and as part of a team.

Work Environment

This is a full-time onsite office position. The Administrative Assistant will interact regularly with management, employees, customers, vendors, and other business contacts.

The role requires the ability to manage multiple responsibilities while maintaining a professional and organized work environment.

Regular business hours will be based on Wellvana's operating schedule. Occasional extended hours or schedule adjustments may be required based on business needs.

Compensation
