What You’ll Do
  • Manage 40 active work orders simultaneously in a fast‑paced, high‑volume environment.
  • Own the full lifecycle of each order: intake, vendor match, scheduling, execution, follow‑up, and billing.
  • Serve as the main point of contact for a nationwide client portfolio, providing proactive updates and fast issue resolution.
  • Match and dispatch vendors based on scope, trade, geography, and client standards.
  • Track progress against SLAs, KPIs, budgets, and timelines to ensure timely completion.
  • Reconcile data between internal systems and client portals for clean, accurate reporting.
  • Make rapid decisions with imperfect information and keep work moving under shifting priorities.
  • Document as you go, maintain throughput, and identify workflow improvements.
  • Partner with internal teams to streamline processes and enhance client experience.

RequirementsWhat You Bring
  • 2+ years in client services, facilities operations, or work‑order coordination.
  • Strong communication, attention to detail, and problem‑solving skills.
  • Proficiency in Microsoft Office; experience with maintenance management systems (FEXA, ServiceChannel, FMX, etc.) is a plus.
  • Ability to learn new systems quickly and manage competing priorities in a fast‑paced environment.
  • Bonus: Bachelor’s degree in Business or Facilities Management; familiarity with construction trades and compliance standards (OSHA, ADA, EPA).

Physical Demands

This role operates in a climate‑controlled office environment using standard office equipment such as computers, printers, copiers, and filing cabinets. It requires the ability to occasionally lift and move up to 25 pounds of supplies and equipment.

Preferred Exposure (Nice‑to‑Have)

Candidates with experience in scope development, pricing, and coordinating multiple vendors or skilled trades.

Building & Facilities Operations
  • Large‑campus facilities management (hospitals, universities, airports, corporate HQs) where a CMMS desk triages HVAC, plumbing, electrical, and carpentry requests against SLAs.
  • Multifamily or commercial property maintenance across multiple sites, prioritizing emergencies and dispatching the right in‑house tech or vendor.
  • Elevator/escalator service (Otis, Kone, Schindler) where callbacks and entrapments are triaged by severity and routed to the nearest qualified mechanic.
Home & Field Service
  • Multi‑trade home‑services companies (HVAC/plumbing/electrical) with call‑center triage and technician dispatch by skill and geography.
  • Insurance restoration or home‑warranty environments coordinating plumbers, electricians, and remediation crews through to a closed claim.
Industrial & Technical
  • Plant or refinery maintenance desks managing prioritized backlogs across mechanical, electrical, and instrumentation trades.
  • Fleet, logistics, or roadside‑assistance dispatch matching breakdowns to the nearest and best‑qualified service provider.
