About the Role:

We are seeking a Recruiting Operations Coordinator to support our hiring processes and deliver an exceptional candidate experience. This role primarily focuses on coordinating interviews and managing recruiting logistics, while also partnering with our Manager, Recruiting on recruiting operations and process improvements. You'll work closely with recruiters, hiring managers, and candidates to ensure a seamless and high-touch recruiting journey, from initial scheduling through offer acceptance.

What You’ll Do:

  • Schedule and coordinate complex interviews across multiple time zones, ensuring all logistics are clear and accessible.

  • Act as the primary point of contact for candidates, providing a warm and informative experience throughout the interview process.

  • Manage interview coordination logistics including calendar management, interview prep materials, and follow-up communications.

  • Process offer letters and onboarding paperwork to ensure a smooth new-hire transition.

  • Partner with recruiting leadership to implement process improvements and automate our recruiting process.

  • Support the optimization of our applicant tracking system, Ashby, to improve efficiency and candidate experience.

  • Help maintain accurate candidate records and recruiting documentation.

  • Support the creation and posting of new positions across job boards and social media platforms.

  • Collaborate with the recruiting team to streamline workflows and enhance the overall recruiting experience.

Who You Are:

  • Experience: You have 1-3 years of experience in recruiting coordination, ideally in a fast-paced, high-growth environment (e.g., tech startups or venture-backed companies).

  • Detail-Oriented: You excel at managing logistics, with a keen eye for detail and the ability to prioritize multiple tasks effectively.

  • Communication: You have excellent interpersonal and written communication skills, with a knack for building trust and rapport with candidates and stakeholders.

  • Tech-Savvy: You're proficient in modern applicant tracking systems.

  • Collaborative: You thrive in a team setting, working effectively across multiple functions and time zones to ensure alignment and success.

  • Process-Minded: You enjoy finding ways to improve efficiency and are eager to partner with the Manager, Recruiting on implementing process improvements.

  • Candidate-Centric: You're passionate about delivering a first-class experience for candidates, recruiters, and hiring managers alike.

  • Adaptable: You're comfortable juggling multiple priorities in a dynamic environment while maintaining professionalism and good judgment.

Bonus Points:

  • Experience with Ashby is highly preferred.

  • Based or able to work in Pacific time is highly preferred.

  • Previous startup experience on a lean, fast-moving talent team.

  • Previous experience in a recruiting operations role.

  • Familiarity with using data-driven recruiting metrics for decision-making.
