As a Proposal Specialist, you will manage the preparation and submittal of bids for Intergalactic’s competitive business opportunities in defense aerospace, civil aviation, and related industries. Operating under the Director of Proposal Operations, you will collect customer requirements and program specifications and manage inputs from technical and commercial authors to produce compelling responses to customer needs. Roles and Responsibilities
Reach and thoroughly understand the technical, commercial, quality, and other requirements of new customer opportunities.
Develop and managed RFI and RFP responses and corresponding schedules.
Manage section/volume authors across the company, including setting and enforcing deadlines and content expectations.
Identify supporting visuals and graphics and draft written content for proposals.
Edit, revise, and re-write as necessary to ensure proper flow, clarity, cohesion, and readability.
Fact-check, flag potential errors, and thoroughly edit for grammar, punctuation, spelling, syntax, consistency, and accuracy.
Ensure final proposals comply with customer expectations and instructions and guide final proposals through internal reviews and approvals.
Develop tools and methods to improve and streamline the proposal process, including developing content libraries, frequently asked questions, and more.
REQUIRED Qualifications
Bachelor’s degree
Minimum 3 years of experience in proposal writing in aerospace, defense, deep tech, industrial, or related industries
Aerospace thermal management experience preferred
DESIRED CHARACTERISTICS
Knowledge of Aerospace thermal management experience preferred
5+ years of proposal writing in Aerospace thermal management experience preferred
Strong organizational skills and attention to detail
Strong written communication skills
Collegial attitude and demonstrated ability to work cross-functionally
Ability to manage multiple projects from conception to completion in a complex and fast-paced environment

The base pay range for this position is $96,400 – $130,000.00 USD Annual. The specific pay offered may be influenced by a variety of factors, including the candidate’s experience, education, and skill set. This position is also eligible for an annual discretionary bonus based on a percentage of your base salary/ commission based on the plan. This posting is expected to close on July 22, 2025.
