As a Proposal Coordinator, proposals are your core responsibility. You’ll work alongside practice leaders, technical staff, and an award-winning communications team to shape the firm’s experience into clear, compelling submissions that help us win meaningful work.

This role supports passionate, detail-driven creative professionals who are deeply committed to delivering value to their clients. Your job is to help organize their experience and expertise into polished, accurate, and on-time proposals. You won’t always have every piece of information at the start, and deadlines don’t move, but you won’t be navigating it alone. What You'll Do: 

  • Coordinate the production of proposals from kickoff through submission
  • Develop timelines and workplans to keep pursuits on track
  • Gather and organize project information, resumes, and supporting materials
  • Draft and edit proposal content including cover letters, project descriptions, and resumes
  • Review submissions for clarity, accuracy, and compliance with RFQ/RFP requirements
  • Maintain momentum across multiple active pursuits at once
  • Partner with technical staff to collect and clarify information
  • Maintain proposal templates, tools, and information databases to ensure accuracy and efficiency
  • Contribute ideas to improve workflows and systems over time

Technical Qualifications:

  • Bachelor's degree in communications, marketing, graphic design, or a related field 
  • Minimum of 1 year of professional experience in marketing, proposals, communications, or a related environment
  • AEC industry experience is desired but not required
  • Excellent writing, editing, and proofreading capabilities
  • Working knowledge of Microsoft Office (Word, PowerPoint, Excel) and Adobe InDesign 
  • Strong graphic sensibility and understanding of layout and formatting
