ABOUT THE ROLE
Cyber Advisors onboards, converts, and offboards managed services clients on a continuous basis — and doing that well requires more than just technical execution. It requires someone who owns the coordination layer: scheduling, documentation, communication, and follow-through.
The MSP Onboarding Project Coordinator works directly alongside our onboarding PM to keep client projects moving. You're not managing delivery — you're making sure every moving part is tracked, every task has an owner, and nothing falls through the cracks. WHAT YOU'LL DO
Project Coordination & Tracking
- Support the onboarding PM across a portfolio of active MSP onboarding, conversion, and offboarding projects
- Maintain accurate project documentation in ConnectWise — statuses, notes, work plans, and task assignments
- Monitor project milestones and flag items at risk of missing target dates
- Track open action items and follow up with internal teams to keep tasks moving
- Prepare meeting agendas, capture notes, and distribute recaps and action items within 24 hours
Client Communication Support
- Send templated client communications on behalf of the PM — welcome emails, weekly check-in summaries, status updates
- Serve as a secondary point of contact for routine client questions during active onboarding
- Coordinate client-facing scheduling: kickoff meetings, weekly check-ins, and milestone reviews
Internal Coordination
- Coordinate with onboarding engineers, MS engineers, and procurement to confirm task readiness and dependencies
- Track hardware and licensing procurement status and surface delays to the PM
- Maintain the onboarding checklist and project documentation throughout the project lifecycle
- Support handoff activities at project close — confirm engineer acknowledgment, update CW, flag finance for billing
Process & Documentation
- Maintain up-to-date records in ConnectWise and SharePoint across all assigned project s
- Support documentation of onboarding workflows, SOPs, and checklist templates as the PMO evolves
- Identify recurring coordination gaps and bring improvement ideas to the PM
WHAT YOU BRING
Required
- 1–3 years of experience in a project coordination or project support in an MSP, IT services, or technology
environment - Strong organizational skills and attention to detail, you don't lose track of things
- Clear written communication— you can write a professional client email and a clean meeting recap without
much editing - Strong presentation skills to both internal and external audiences
- Comfortable working across multiple concurrent projects with shifting priorities
- Proficiency in Microsoft 365 (Outlook, Teams, SharePoint, Excel, PowerPoint)
Preferred
- Familiarity with ConnectWise Manage or a comparable PSA/ticketing tool
- Exposure to managed services onboarding, client transitions, or IT project coordination
- Comfort with process documentation— you've written a checklist or SOP before and don't find it painful
