Join our Real Estate Department as a Project Assistant located in our Charlotte office.

This role will be based in our Charlotte office. Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building. This role reports to the Paralegal Supervisor.
Position Summary
The Real Estate Project Assistant will assist the attorneys and paralegals in the Real Estate Department in all stages of real estate transactions from pre- to post-closing duties. 

Key Responsibilities

  • The responsibilities will include involvement with commercial real estate transactions, preparing closing deliverables, and document preparation for clients.

  • Orders UCC Searches and prepares results charts, attending to formations and qualifications in various jurisdictions.

  • Obtains EINs, orders surveys, orders PZRs, and orders title commitments.

  • Organizes client materials and transaction files.

  • Tracks deal statuses to ensure delivery of all final documents.

  • Prepares and tracks status of signature pages .

  • Miscellaneous document review and any type of assistance requested by paralegals and attorneys.

  • Assists with updating checklists, retrieving and distributing documents from data rooms, and performing general transaction file maintenance.

  • Prepares closing binders and other duties as assigned.

Qualifications

  • The candidate must be a self-starter and also a team player and work well under periodic pressure to meet tight deadlines.  

  • The ideal candidate is reliable, detail-oriented and able to learn new technology quickly.  

  • Candidate must demonstrate professionalism, excellent communication skills and attention to detail.  

  • Candidate must have excellent customer service skills, a positive attitude and the ability to multi-task.  

  • The ideal candidate will have the ability to work on multiple matters simultaneously in an organized manner under minimal supervision while adhering to strict deadlines.

Education and Prior Experience

  • Bachelor’s degree preferred.

  • Ideal candidate will have one year of project assistant/paralegal experience supporting the Real Estate Department in a law firm .

Technology

  • Proficiency with Windows-based software and Microsoft Word, Excel and Outlook required.

  • Demonstrates a basic understanding of artificial intelligence (AI), including core capabilities, limitations, and importance of data privacy, accuracy, verification, and ethical considerations within a professional services environment

  • Familiarity with or willingness to learn AI platforms (e.g., Microsoft Copilot, ChatGPT, or similar tools) and incorporate them responsibly into day-to-day workflows to enhance daily work tasks as appropriate and/or directed

  • Proactive approach to learning and adapting to emerging AI and related technologies and contributes to a culture of innovation
