A Payroll Administrator is a specialized financial professional responsible for ensuring every employee is paid accurately and on time while keeping the company compliant with tax laws and labor regulations. They sit at the intersection of Finance and Human Resources. 

Core Roles & Responsibilities

  • Payroll Processing: Calculating gross-to-net earnings, including base pay, overtime, bonuses, and commissions using software like ADP or Gusto.
  • Tax Compliance & Filing: Withholding federal, state, and local taxes, and ensuring the timely filing of Quarterly Tax Returns (Form 941) and year-end W-2/1099 forms.
  • Deductions Management: Administering voluntary and involuntary deductions, such as health insurance premiums, 401(k) contributions, and court-ordered wage garnishments.
  • Time & Attendance Oversight: Reviewing and verifying employee timesheets to ensure compliance with the Fair Labor Standards Act (FLSA) regarding overtime and break periods.
  • Record Maintenance: Creating and updating payroll profiles for new hires, terminations, and status changes (e.g., pay raises or address updates).
  • General Ledger Integration: Coordinating with the accounting team to ensure payroll expenses are correctly coded and reconciled in the company’s ERP system.
  • Employee Support: Serving as the primary point of contact for staff inquiries regarding pay stubs, tax withholdings, and direct deposit issues.
  • Audit Readiness: Maintaining organized digital archives to support internal audits or inquiries from agencies like the Department of Labor (DOL). 

Essential Technical Stack

  • Payroll Platforms: Mastery of Paychex, Workday, or UKG.
  • Spreadsheet Mastery: Advanced Microsoft Excel skills for data validation and manual payroll adjustments.
  • Regulatory Knowledge: Deep understanding of local labor laws and Social Security Administration (SSA) reporting requirements.
