Description

Galloway Ridge is an upscale continuing care retirement community offering top-quality care in a warm, welcoming environment—and we’re looking for an organized, detail-oriented Marketing and Sales Coordinator to support our Sales Team. The Marketing and Sales Coordinator will support with the planning, execution, and tracking of all essential tasks to keep occupancy at its highest. This may include sales and leads management support; marketing initiatives management support; liaison to marketing agency; departmental budgeting, accounting and reporting support.   

This is an onsite position Mondays - Fridays from 8:30 am - 5:00 pm. 

Responsibilities include, but are not limited to: 

Sales Team Support Responsibilities: 

  • Fielding phone calls, assigning leads, and providing initial information to prospects. 
  • Appropriately categorizes, assigns, and inputs all leads into Salesforce. 
  • Oversees the marketing and sales team shared calendar setting appointments as needed and notifying appropriate parties of daily activities. 
  • Manages all prospect waitlist documents including the recording, filing, and accounting of any waitlist membership. 
  • Supports sales team throughout the process of a depositor becoming a resident to include submission of medical and executive director reviews; approval letter oversight, and coordination, collection and inputting of new resident data into PCC. 
  • Ensures that all necessary documents and supplies are available to support all marketing and sales efforts.   

Marketing Focused Responsibilities: 

  • Will provide support in all marketing initiatives to drive occupancy by insuring that all qualified leads are sufficient to maintain our waitlist. 
  • Acts as a liaison to our marketing agency supporting all marketing efforts across all channels including digital, social, and print. 
  • Provides project management to in-house creative design and copy projects while also maintaining brand integrity and alignment.  
  • Ensures quality of all printed materials meets our brand standards. 
  • May assist with special projects and presentations as needed.  
  • Prepare accurate, statistical reports using spreadsheets and information from Salesforce and Pardot  

All other duties assigned include, but not limited to, enhancing the Resident Experience.  

Requirements

  • Bachelor Degree
  • Solid understanding of working within a busy office environment and of general office management procedures 
  • Strong and effective written and verbal communication skills and ability to work collaboratively with other team members 
  • Proficiency in Microsoft Word, Google Docs, Excel, Salesforce, and Pardot 
  • Working knowledge of the community's pertinent sales documents and contracts
