The newly formed Participant Financial Success (PFS) sub-division is at the center of several key Workplace and Vanguard priorities. Situated within PFS, the Participant Adoption & Engagement team is accountable for driving key business results that lead to better outcomes for Vanguard's 401K plan participants. The Marketing Coordinator will be responsible for implementing marketing plans through project management and stakeholder management.

In this role, you will :

  • . Project Management & Execution
    • Plan, track, and manage marketing projects using tools like Adobe Workfront and JIRA.
    • Ensure timely delivery of campaigns and assets, especially during key milestones (e.g., Retirement Security Month, year-end IRA pushes).
    • Perform risk management and quality assurance checks on final creative assets.
  • Campaign Coordination
    • Support the development and deployment of integrated marketing campaigns across email, digital, and other channels.
    • Collaborate with content strategists, designers, and compliance partners to ensure brand and regulatory alignment.
  • Cross-Functional Collaboration
    • Serve as the primary point of contact between senior marketing managers and project teams.
    • Coordinate timelines, deliverables, and stakeholder expectations across several business departments.
  • Reporting & Optimization
    • Collect and consolidate campaign performance data to inform future strategies.
    • Identify and implement process improvements to enhance workflow efficiency and reduce manual tasks.
  • Strategic Contribution
    • Participate in planning cycles such as Big Room Planning and State of the Business sessions.
    • Translate strategic initiatives into actionable marketing deliverables.

Responsibilities

  • Track & manage project performance in tools such as (WorkFront and JIRA), specifically to analyze the successful completion of short – and long-term goals.
  • Plan and implement projects, defining project scope, goals, and deliverables in collaboration with the Senior Marketing Manager.
  • Have exceptional organizational and time management skills.
  • Manage multiple projects simultaneously and under pressure.
  • Perform risk management to minimize project risks.
  • Oversee final versioning/quality assurance in TEAMS.
  • Audit and approve final creative versioning in partnership with UX team.
  • Lead proactive and reactive cross team deployment calendar management
  • Serve as main point of contact between senior marketing managers and project teams
  • Work with marketing managers to track KPI’s, project performance, and deliverables
  • Identify inefficiencies in marketing workflows or approvals

Qualifications

  • 2+ years of relevant experience, including:
    • At least 1 year of project management experience.
    • At least 1 year in financial services or a function-specific marketing role (preferred).
  • Strong foundation in project management methodologies (Agile methodologies like Kanban and Scrum is a plus).
  • Proficiency with project management tools such as JIRA, Workfront, or similar platforms.
  • Excellent organizational, time management, and communication skills.
  • Ability to manage multiple projects simultaneously and adapt to shifting priorities.
  • A collaborative mindset with a passion for continuous improvement.
