About the Role

We are seeking a detail-oriented and adaptable HR Operations / Executive Assistant for a 3-month maternity leave cover to support our HR team (80%) and CEO (20%). This role is full time and will report to the Chief of Staff.

While this role is initially for 3-month’s coverage, there is strong potential for it to transition into a full-time HR Operations position based on performance and organizational needs.

The position combines administrative excellence with HR operational support, ensuring smooth day-to-day processes while providing high-level executive assistance. It is ideal for someone who thrives in a fast-paced environment, can manage competing priorities, and enjoys working on a wide variety of tasks.

Key Responsibilities

HR Operations Support:

  • Manage employee lifecycle processes, including onboarding, off-boarding, and role changes.
  • Maintain and update HRIS system (Rippling) with a high degree of accuracy.
  • Support benefits administration, leave management, and employee inquiries.
  • Ensure compliance by maintaining personnel files, auditing documentation, and assisting with policy updates.
  • Coordinate HR programs such as training, engagement initiatives, and wellness activities.
  • Plan and manage logistics for team off-sites and company events, including venue selection, vendor management, and budget tracking.

Executive Assistant Support:

  • Manage complex calendars, meeting schedules, and travel arrangements for the CEO.
  • Handle travel arrangements, expense reports, and reimbursements.
Qualifications
  • 3+ years of experience in HR operations, executive assistance, or related roles.
  • Exceptional organizational, time management, and multitasking skills.
  • Strong understanding of HR processes, compliance, and best practices.
  • Advanced proficiency in Google Suite (Word, Excel, PowerPoint, GMail); experience with HRIS and collaboration tools (e.g., Slack, Zoom, Navan, Rippling) preferred.
  • Excellent written and verbal communication abilities, able to work effectively with diverse groups and backgrounds.
  • High level of discretion in handling sensitive and confidential information.
  • Ability to thrive in a fast-paced environment and adapt to shifting priorities.
  • Strong interpersonal skills with the ability to build trust and work collaboratively across teams.
  • Fluent in English
