Role Overview

The Finance Operations Supervisor is responsible for overseeing the day-to-day finance operations function for Uniphar US, including Accounts Payable, Accounts Receivable, billing, collections, cash application, payroll administration oversight and related transaction controls. The role supervises the Payroll Specialist and AP/AR resources, supports efficient transaction processing through Sage Intacct and ensures finance operations are accurate, timely, scalable and well controlled.

This position is intended to be a hands-on supervisory role rather than a senior manager-level role. The successful candidate will combine practical accounting operations experience with strong process discipline, team coordination and a continuous improvement mindset.

Key Responsibilities

· Finance Operations Supervision

o Oversee daily finance operations across AP, AR, billing, collections, cash application and payroll administration coordination.

o Supervise, guide and support the Payroll Specialist and AP/AR resources, ensuring clear ownership, prioritization and timely completion of recurring tasks.

o Act as the first point of escalation for transactional finance issues, including vendor queries, customer account issues, payroll administration queries and internal process questions.

o Maintain standard operating procedures, checklists and recurring close calendars for core finance operations activities.

· Accounts Payable Oversight

o Monitor vendor invoice processing, coding, approvals and payment preparation in Sage Intacct.

o Review payment runs, vendor statement reconciliations and aged payable items before escalation or approval.

o Work closely with the VP of Finance and Finance Manager to drive process improvements and efficiencies in the AP process.

· Accounts Receivable, Billing and Collections

o Oversee customer invoice preparation, credit note processing, collections follow-up and cash application activity.

o Review AR ageing, unapplied cash, disputed balances and collection priorities.

o Support working capital discipline by identifying slow-paying accounts, recurring billing issues and process bottlenecks.

o Coordinate with commercial, operations and finance stakeholders to resolve customer billing and collection matters.

· Payroll Administration Oversight

o Oversee the payroll administration process performed by the Payroll Specialist, including payroll changes, payroll register review, and deduction updates.

o Coordinate with the company’s PEO/payroll provider for routine payroll processing, employee changes, benefits-related payroll items and payroll reporting support.

o Review payroll outputs and support accurate payroll journal entries, payroll-related reconciliations and Sage Intacct postings.

o Escalate payroll compliance, tax, benefit or employee data issues to Finance, HR and the PEO/payroll provider as appropriate.

· Sage Intacct Process Ownership

o Support effective use of Sage Intacct across transactional finance processes, including coding, dimensions, approval workflows, reporting fields and supporting documentation.

o Identify opportunities to reduce manual work, improve data quality and standardize recurring transaction processing.

o Partner with key stakeholders on practical system improvements, user discipline and process documentation.

· Month-End Close and Controls

o Support month-end close by ensuring timely AP, AR, cash application, payroll and related sub-ledger activity.

o Prepare or review supporting schedules, reconciliations, accrual inputs and transaction reports as assigned.

o Maintain appropriate documentation and evidence of review for finance operations processes.

o Support audit requests and internal control reviews relating to AP, AR, payroll administration and cash activity.

Skills & Experience

· Bachelor’s degree in Accounting, Finance, Business or related field preferred.

· 5+ years of accounting operations, AP, AR, payroll administration or shared-services experience preferred.

· Prior supervisory or team lead experience strongly preferred, ideally overseeing transactional finance staff.

· Experience with Sage Intacct or a comparable ERP/accounting system.

· Strong Excel skills and comfort reviewing transactional reports, reconciliations, ageing reports and payroll outputs.

· Practical understanding of AP, AR, cash application, billing, collections, payroll administration and month-end support processes.

· High attention to detail, strong process discipline and ability to manage recurring deadlines across multiple workflows.

· Professional communication style with the ability to coordinate effectively with vendors, customers, employees, Finance, HR and Operations teams.
