The Executive Assistant will support the Cayman-based Executive and the broader team by managing calendars, travel arrangements, handling sensitive information, and providing admin support for various projects.
This role provides a comprehensive and professional service to the Cayman based Executive and broader Executive team (based in other locations), ensuring that they are fully supported across a wide range of executive board and group partner activities.
Key Responsibilities
- Extensive calendar management and navigation of complex requirements across multiple stakeholders and jurisdictions, ensuring priorities and meetings are scheduled within given timeframes;
- Support the Global Senior Partner on associated partnership matters and administration tasks;
- Work cohesively with the wider Executive Support (remote based team) to provide a structured support model to manage Executive and other key stakeholder requests;
- Prepare detailed itineraries and travel management requests;
- Handle sensitive information for discrete projects and initiatives;
- Support ad-hoc projects and initiatives as required this could include:
- organisation of in-house meeting or events;
- logistics of external leadership meetings/ conferences;
- Administration tasks including:
- maintain governance of online filing system, ensure that filing is carried out on a regular basis (including filing of emails and documentation);
- process invoices and expense claims;
- keep business systems, Microsoft 365 sites and applications up to date as needed;
- production and formatting of correspondence and documentation;
- support with generic administration tasks such as photocopying and scanning etc.
Skills, Knowledge and Expertise
- 5+ years' of providing administration support to an executive or senior leadership team ideally within a professional services, legal or finance environment;
- Self-motivated, action driven and highly professional, with excellent organisational skills;
- High level of confidentiality and integrity at all times;
- Excellent communication skills and attention to detail, accuracy in schedules, documents and all types of communications;
- Ability to work in a fast-paced environment, managing time efficiently, providing solutions across multiple priorities and tasks, and meeting agreed timeframes or deadlines;
- Adaptable to our ways of working environment and a flexible approach where required to meet business priorities;
- Skilled in Microsoft 365 (Outlook, Word, Excel, PowerPoint and Teams).
