Title: Executive Assistant

Business Unit: U.S. COO and Legal teams

Location: Charlotte, NC

We are seeking a proactive, highly organized Executive Assistant to provide reliable and confidential administrative support to two key business areas: Chief Operating Officer along with several of his U.S. based team members and our U.S. Legal Team leadership. This individual will serve as a trusted partner, helping to manage priorities, facilitate communication, and ensure the smooth execution of day-to-day business activities in a fast-paced, professional environment. This role will be based in our Charlotte, NC office.

Primary Responsibilities

The successful candidate will serve as a trusted administrative partner to senior leaders and their teams, providing proactive support and helping ensure the efficient operation of the COO organization and U.S. Legal team. Responsibilities include, but are not limited to:

  • Manage complex and frequently changing calendars, coordinating meetings across multiple stakeholders, time zones, and competing priorities.
  • Serve as a key point of coordination for assigned executives and teams, proactively managing schedules, communications, and follow-up activities.
  • Facilitate the efficient flow of information, including email correspondence, meeting materials, reports, and other business communications.
  • Coordinate domestic and international travel arrangements across multiple time zones including flights, accommodations, transportation, and detailed itineraries.
  • Process expenses using the Concur system ensuring they are accurate and submitted on time.
  • Coordinate meetings and leadership events, including scheduling, agenda preparation, logistics management, minute-taking, and tracking action items.
  • Organize team off-sites, conferences, and other events, including venue coordination, catering, accommodations, and vendor management.
  • Prepare, format and update documents, presentations and reports using Excel, Word and PowerPoint.
  • Support document management, reporting requirements, and other operational and administrative processes.
  • Build effective relationships with internal stakeholders and external partners, serving as a professional representative of the teams supported.
  • Handle highly sensitive and confidential information with discretion, sound judgment, and professionalism.
  • Identify opportunities to improve processes, enhance efficiencies, and resolve administrative issues proactively.
  • Provide support for special projects and other ad hoc initiatives as needed.

Qualifications

  • 7+ years’ experience in an administrative role (professional services, legal or finance exposure desirable but not essential)  
  • Minimum of associate’s degree preferred
  • Strong executive presence with experience supporting executives in a highly professional and fast-paced environment
  • Highly proficient administrative skills including strong working knowledge of MS Office applications (Outlook, Excel, Word and PowerPoint)
  • Experience using travel and expense management systems, particularly Concur, preferred
  • Experience booking complex domestic and international travel
  • Highly organized with the ability to multi-task and handle shifting priorities in a fast-paced environment  
  • Clear verbal and written communication skills
  • Can-do attitude; resilient with the ability to remain calm when under pressure
  • Takes ownership of responsibilities, proactively identifies priorities, and drives tasks through to successful completion
  • Demonstrated initiative in solving internal and external problems
  • High attention to detail with strong time management skills  
  • Confident, professional and collaborative approach  
  • Proven ability to serve as a trusted partner and maintain confidentiality
