Events Operations Manager

As Event Operations Manager, you'll own the operational planning and execution of Summit's event programs across conferences, trade shows, customer events, webinars, internal meetings, and partner engagements. Working closely with Marketing, Sales, Product, Partner, and Operations teams, you'll bring structure to complex programs, manage vendors and logistics, and ensure every event is planned and executed with consistency and care.

Success in this role isn't measured simply by whether an event happens. It's measured by how seamlessly it comes together, how effectively teams and vendors work together, and the experience it creates for customers, partners, and employees. You'll be expected to operate independently, anticipate needs, solve problems proactively, and continuously improve how Summit plans and delivers events.

 

What You'll Do:

·       Own the operational planning and execution of 30+ events annually across conferences, trade shows, customer events, webinars, internal meetings, and partner engagements.

·       Independently manage event timelines, project plans, task lists, budgets, deliverables, and key milestones from initial planning through post-event wrap-up.

·       Serve as a primary operational point of contact for internal stakeholders, vendors, partners, and other event-related resources.

·       Lead vendor coordination and management across venues, catering, A/V, transportation, shipping, swag, registration, and other event-related services.

·       Manage attendee registration, event communications, lead collection tools, check-in processes, and other attendee-facing logistics.

·       Own shipping and logistics for event materials, technology equipment, branded collateral, and other event assets, including tracking and delivery coordination.

·       Partner closely with Marketing, Sales, Product, Partner, and Operations teams to align event objectives, messaging, execution plans, and KPIs with company priorities.

·       Own and maintain the enterprise event calendar, providing visibility into upcoming programs, key deadlines, resource requirements, and potential scheduling conflicts.

·       Lead onsite and virtual event operations, proactively troubleshooting issues and making real-time decisions to keep events running smoothly.

·       Manage event inventory, including giveaways, branded collateral, technology equipment, signage, and other event materials.

·       Own the company swag store, including inventory coordination, fulfillment support, and ongoing organization.

·       Track event budgets and expenses, monitor vendor commitments, and proactively identify potential budget or resource issues.

·       Evaluate event processes and identify opportunities to improve efficiency, organization, consistency, and the overall attendee experience.

·       Develop and maintain repeatable processes, tools, and best practices that improve event execution across the organization.

·       Conduct post-event follow-up and capture learnings, results, and opportunities for improvement to inform future programs.

·       Support internal event planning and execution including but not limited to executive travel, board meetings, customer events such as customer advisory boards, Summit’s annual recognition trip, etc.)

·       Travel onsite as needed to support event execution, approximately 15%.

·       Clear visibility into the enterprise event calendar, upcoming priorities, dependencies, and resource needs.

·       Consistent execution and alignment across business units while maintaining a cohesive Summit brand experience.

·       Clear communication, proactive follow-through, and dependable problem-solving throughout all phases of an event.

·       Improved processes, tools, and operational efficiencies that make future events easier to plan and execute.

 

You'll Thrive in This Role If You:

·       Have 4–6+ years of experience supporting or managing conferences, trade shows, webinars, customer events, corporate events, or related event programs.

·       Have demonstrated experience independently managing multiple events, projects, timelines, and competing priorities.

·       Are highly organized, detail-oriented, and able to create structure in fast-moving environments.

·       Are comfortable owning projects from planning through execution and follow-up without needing step-by-step direction.

·       Have strong vendor management experience and experience working with venues, caterers, A/V providers, shipping partners, and other event vendors.

·       Communicate clearly and confidently with both internal stakeholders and external partners.

·       Are proactive and solution-oriented, with the ability to anticipate challenges and make sound decisions under tight deadlines.

·       Have experience managing event budgets, expenses, materials, inventory, and operational deliverables.

·       Are comfortable using Microsoft Office, Google Workspace, and event or project management tools.

·       Have experience supporting virtual and hybrid events using platforms such as Microsoft Teams, Zoom, Cvent, or similar tools.

·       Can balance attention to detail with an understanding of broader business objectives and event goals.

·       Bring a positive, collaborative, team-first attitude and are willing to jump in wherever needed.

·       Are willing to travel for events as needed, approximately 15%.

 

Bonus Point:

·       Experience supporting B2B, SaaS, technology, or other business-to-business events and trade shows.

·       Experience managing event inventory, swag programs, branded materials, or fulfillment operations.

·       Experience balancing competing priorities across multiple departments or event programs.

·       Experience developing or improving event processes, systems, templates, or operational workflows.

·       Experience measuring event performance against business objectives, KPIs, or ROI.

·       Enjoy bringing structure, organization, and operational rigor to fast-moving projects.

Compensation:

The salary range for this role is $70,000 – $90,000 annually. Compensation for this role is based on experience, skills, and location. We aim to make offers that are fair, forward-looking, and aligned to both what you bring and where you’re growing.
