Own centralized event operations, logistics workflows, inventory fulfillment, courier dispatch, partner coordination, SLA compliance, reporting, and Salesforce administration. Provide remote operational support for clinical events, troubleshoot urgent shipping issues, and travel up to 25% to support large, high-risk, or rapidly growing onsite events. Coordinate with logistics partners, clinics, field teams, and external vendors while identifying workflow improvements and maintaining participant experience.
The Centralized Event Operations Specialist serves as the operational backbone of the Event Blood Draw Team, taking ownership of standardized logistical workflows, inventory fulfillment, and administrative dispatch. By centralizing static administrative processes previously fragmented across field Event Leads, this role enables the team to scale event volume seamlessly without proportional headcount additions. Additionally, this position acts as a critical bridge between Events, Logistics, and external partners (e.g., BioTouch, US Wellness), ensuring strict SLA compliance, flawless inventory fulfillment, and targeted high-risk onsite event support.
This is a remote based role and you will be approved to work from your City and State within the US. While your primary workplace is your home, you may be required to travel occasionally to a GRAIL office or other locations to perform your work or attend team-related events.
Responsibilities:
- Own and execute recurring administrative event workflows, including creating Test Requisition Forms (TRFs), scheduling couriers, dispatching PHI directly to clinics, and creating custom OnceHub/scheduler links.
- Serve as the dedicated operational liaison between the Events Team and internal/external Logistics partners (e.g., BioTouch), bridging knowledge gaps and aligning inventory dispatch with event demand.
- Centralize marketing collateral (MarCom) and kit ordering to maintain accurate inventory levels, prevent stockouts during peak promotional surges, and handle back-end tracking.
- Manage Salesforce account creation for specialized shipping needs (e.g., dedicated partner account builds) and maintain the Mobile Events Salesforce inbox to resolve field inquiries quickly.
- Maintain 100% SLA adherence for shipping deadlines, ensuring kit deliveries and event materials are dispatched consistently and on time across all regions.
- Post daily event/scheduler status reports in dedicated Slack channels to maintain transparent cross-functional visibility.
- Provide a stable, continuous operational anchor for core systems and administrative tasks when Event Leads are traveling or managing remote event weeks.
- Support short-notice operational needs, troubleshooting emergency shipping bottlenecks and logistical friction in real time.
- Deploy to large-scale, high-volume, or high-risk events to provide dedicated on-the-ground operational, registration, and logistical support.
- Support events that experience rapid sign-up growth beyond initial forecasts, stepping in as additional onsite execution lead to maintain quality and participant experience.
- Evaluate local clinic kit flow, courier handoffs, and phlebotomy setup during onsite visits to identify workflow optimizations and feed continuous improvement back to the central operational team.
