Job Description

The Corporate Lobby & Administrative Support position provides consistent, professional backup coverage for the Corporate Office lobby while also supporting administrative needs throughout the office.

This role will provide daily lobby coverage during the regularly scheduled lunch period and additional coverage whenever the primary lobby associate is out of the office or otherwise unavailable. When not providing lobby coverage, this position will assist with administrative assignments and special projects across the Corporate Office as needed.

Because this position regularly interacts with executives, associates, visitors, vendors, and business partners, the individual must consistently demonstrate professionalism, discretion, strong communication skills, and a polished business appearance.

Primary Responsibilities

Lobby Coverage & Visitor Support

· Provide daily lobby coverage during the primary lobby associate’s scheduled lunch period.

· Provide additional lobby coverage for planned and unplanned absences, including PTO, appointments, meetings, training, and other out-of-office periods.

· Professionally greet and assist visitors, executives, vendors, candidates, and associates entering the Corporate Office.

· Answer and appropriately direct incoming calls and general inquiries.

· Follow established visitors, security, access, and lobby procedures.

· Maintain a professional, organized, and welcoming lobby environment.

· Communicate promptly with appropriate associates regarding visitor arrivals, deliveries, or other lobby needs.

· Maintain confidentiality and exercise sound judgment when handling sensitive information or situations.

Administrative & Office Support

When lobby coverage is not required, provide administrative support throughout the Corporate Office based on business needs, which may include:

· Assisting departments with general administrative assignments and special projects.

· Preparing, organizing, scanning, copying, filing, or distributing documents.

· Assisting with meeting preparation, conference room needs, and office events.

· Supporting mail, shipping, supply, or other office-related functions as needed.

· Assisting with temporary coverage or administrative workload during associate absences or periods of increased activity.

· Performing other administrative duties as assigned.

Professional Expectations

The individual in this role serves as a visible representative of the Corporate Office and is expected to:

· Maintain a polished, professional appearance and dress appropriately for a corporate business environment.

· Communicate clearly, professionally, and courteously in person and by telephone.

· Demonstrate excellent interpersonal skills and confidence when interacting with individuals at all levels of the organization.

· Maintain a friendly, welcoming, and service-oriented demeanor.

· Exercise discretion and maintain confidentiality.

· Demonstrate dependability, punctuality, flexibility, and good judgment.

· Remain attentive and professional while assigned to the lobby.

· Adapt easily to changing priorities and support different departments as business needs arise.

Qualifications

· Previous receptionist, administrative support, customer service, hospitality, or corporate office experience preferred.

· Strong verbal and written communication skills.

· Professional telephone etiquette.

· Strong organizational skills and attention to detail.

· Ability to work independently and follow established procedures.

· Ability to appropriately prioritize multiple requests and assignments.

· Comfortable interacting with executives, associates, visitors, and external business partners.

· Working knowledge of Microsoft Outlook, Word, and other standard office applications preferred.

· Demonstrated reliability and flexibility in a support-oriented environment.

Additional Information

Schedule & Coverage Expectations

This is a 40-hour-per-week position, Monday through Friday, from 8:00 a.m. to 5:00 p.m.

The schedule is intentionally structured to provide dependable daily lunch coverage for the Corporate Office lobby while also creating additional administrative support capacity throughout the office
