Coordinates and monitors the lifecycle of the legal health record via designated analysis, release of information, optical and other auditing functions of the Health Information Management Department on a consistent basis for trending workflow, productivity volumes, quality, compliance, and process improvement perspective. Utilizes knowledge to acquire, manage, analyze, interpret, and transform data into accurate, consistent, and timely information, while balancing the "big picture" strategic vision with day-to-day details. Assumes responsibility and is accountability for the overall coordination of both electronic and paper protected health information (PHI). Provides ongoing education and communication to hospital and clinic employees regarding appropriate retention of documentation. Assures team members are trained in all areas of prep, scan, and indexing of documentation by conducting reviews for quality assurance of optical imaging staff and any persons entering paper information into the legal health record to ensure overall integrity.
MINIMUM QUALIFICATIONS:
EDUCATION, CERTIFICATION, AND/OR LICENSURE:
1. High School Diploma or equivalent.
EXPERIENCE:
1. Two (2) years’ experience in HIM Department operations
OR
2. Bachelor’s degree Health Information Technology, Health Information Management, or other applicable degree.

PREFERRED QUALIFICATIONS:
EDUCATION, CERTIFICATION, AND/OR LICENSURE:
1. Associate Degree in Health Information Technology or related field.
2. Registered Health Information Technologists (RHIT) credentials or Certified Health Data Analyst (CHDA) preferred.

1. Serves as a HIM support resource and coordinates special projects for the department with primary focus on lifecycle of the legal health record and operations.
2. Conducts or reviews quality assurance audits from optical imaging staff and any persons entering paper information into the legal health record to ensure overall integrity. May also include electronic data as well.
3. Assists with facilitation and design of optimized workflows, processes and procedures to efficiently achieve desired results.
4. Assures transparency of PHI by working with the Forms Committee Liaison, Local HIM Supervisor, and IT Application Systems Analyst to assure that appropriate information is available in the legal health record print groups and is viewable to the appropriate customers.
5. Coordinates maintenance of the LHR and other types of records in accordance with clinical and business needs and all applicable legal and regulatory requirements.
6. Ensures deployment of explicit policies and best practices for management, retention & disposition of all records for all media types.
7. Provides timely, accurate, and efficient retrieval of PHI assuring overall availability of the LHR and reviews record retention schedules annually as well as destruction schedules to assure proper disposition of the LHR.
8. When appropriate, assists with Warehouse, development and access to MyWVUChart, access to Affiliate Link, and coordination of West Virginia Health Information Network initiatives.
9. Supports education regarding Media Manager front end scanning to reduce documentation received for back end scanning.
10. Provides weekly reporting to management regarding employee QA and compliance with productivity standards.
11. Coordinates and assists with identifying, describing, and maintaining the organization’s information assets.
