LOCATION: Remote – this is a home based, virtual position that operates Monday – Friday from 8:30am-5:00pm (EST). Vaya Health welcomes applications from NC, SC, GA, TN, VA, MD, and FL.


GENERAL STATEMENT OF JOB

Vaya Health manages Medicaid and other publicly-funded health care services in western North Carolina. Vaya’s Contracts Team, within the Legal Department, is responsible for administration and oversight of the organization’s contracting process and vendor lifecycle management. This position reports to the Contracting and Vendor Management Director and supervises a Contracts Specialist


Working closely with the Information Services (ISD), Finance, and Provider Network Operations departments, this position supports their Director and the Legal Team in developing and implementing contract templates, drafting and negotiation of provider and vendor contracts, management of the vendor relationship management platform, distribution of provider and vendor contracts, coordination and tracking of contract execution, data integrity, reporting, vendor and provider communications related to contracts, and storage and tracking of executed contracts.



ESSENTIAL JOB FUNCTIONS

Contract Life Cycle Support:

  • Responsible for the development of provider and vendor contracts, using templates approved by the General Counsel or Sr. Associate General Counsel.
  • Utilizing an approved template, draft, negotiate provider and/or vendor contracts, including scopes of work, amendments, memoranda of agreement, with external parties.
  • Oversee or assist with the distribution and tracking of Vaya provider contracts and out-of-network agreements, in addition to all administrative contracts, leases, and other written agreements.
  • Draft, update, and maintain business procedures and job aids for their functions and supervisee’s functions
  • Communicate with internal and external stakeholders on the status of contracts
  • Together with the Contracts Specialist, verifies, corrects, and updates contract details into the Vaya electronic contracts lifecycle management platform (CLM platform).
  • Oversees the organization, storage, and archiving of all Vaya contracts for which Contracts Specialist is responsible.
  • Develops reports for executive leadership and senior management related to contract status, content, and other data requested. 
  • Assists the Director in overseeing and managing the integrity of provider and vendor data in Vaya’s CLM platform, including the vendor relationship management application and .
  • Assists the Director in coordinating user set up
  • Provides initial and ongoing training and assistance as necessary for business units to submit contract requests, use reporting features, and locate contracts in the CLM platform.
  • Assists Legal and PNO staff with the negotiation of the terms of vendor and provider contracts as requested.
  • Assists with the training of Vaya staff on the drafting, processing, and/or management of Vaya contracts.
  • Assists with the development and processing of procurement requests, including but not limited to requests for proposal, requests for information, and requests for assistance in accord with Vaya’s procurement process.
  • Provides routine supervision, training, and feedback for assigned Contract Specialist.


Special Projects:

Working on assigned projects as needed to improve provider network and vendor management, as well as procurement activities, data integrity, claims processing, provider communications, and other projects that impact the contracting function of Vaya.

  • Advanced level proficiency in Adobe and Microsoft Office 365 products (Word, Excel, Outlook, PowerPoint, Teams, Visio, etc.). Must be able to format and manipulate Excel documents for printing and presentation as well as Word and/or PowerPoint documents for distribution, printing, and presentation. Must be able to schedule meetings and tasks using Outlook. Must be able to schedule and manage virtual Teams meetings.
  • Familiarity with DocuSign, SharePoint, and Icertis vendor management software a plus
  • Willingness to travel as needed. Thorough knowledge of how to use standard office equipment, including printers, scanners, and fax machines.

 

 

EDUCATION & EXPERIENCE REQUIREMENTS

  • Bachelor’s Degree in business administration or related field with four years of related work experience; OR
  • Master’s Degree in business administration or related field with two years of related work experience (preferred); OR 
  • Juris Doctorate from an ABA-accredited law school (strongly preferred), and 

All degrees must be from appropriately accredited institutions.

 

Preferred Work Experience:

  • Contracting experience within the healthcare industry, insurance company, or legal firm preferred.

 

PHYSICAL REQUIREMENTS

  • Close visual acuity to perform activities such as preparation and analysis of documents; viewing a computer terminal; and extensive reading. 
  • Physical activity in this position includes crouching, reaching, walking, talking, hearing and repetitive motion of hands, wrists and fingers. 
  • Sedentary work with lifting requirements up to 10 pounds, sitting for extended periods of time. 
  • Mental concentration is required in all aspects of work.

 


RESIDENCY REQUIREMENT: The person in this position must reside in NC, SC, GA, TN, VA, MD, or FL.


SALARY: Depending on qualifications & experience of candidate. This position is exempt and is not eligible for overtime compensation.
