About the role

As a Business Project Manager supporting Vanguard’s emerging AI Risk organization, you will help shape how we responsibly deliver AI-powered capabilities. This combined Business Project Specialist and Chief of Staff role helps to manage risk governance forums, coordinate high-visibility initiatives, and support the development of clear, aligned, and timely materials for executive audiences. Your work will directly advance Vanguard’s mission by strengthening oversight, enabling sound decision-making, and ensuring that innovation remains grounded in what serves our clients best.

What you’ll do

  • Lead and support strategic AI Risk program

  • Serve as the AI Risk program manager to help stand up a new enterprise AI Risk function, including frameworks, governance, and delivery processes.

  • Lead multiple projects or major workstreams from planning through delivery, ensuring progress against scope, budget, and timelines.

  • Collaborate with partners across IT and GR&S to maintain alignment and momentum.

  • Manage resource and budget planning to support responsible and efficient execution.

  • Track key metrics, insights, and portfolio-level reporting to enable data-driven decision-making.

  • Share clear updates, address challenges, and influence cross-functional stakeholders.

  • Assist with planning and scheduling initiatives to support smooth adoption of new programs.

  • Champion organizational change by supporting communication, training, and readiness efforts.

  • Act as a Risk Governance Analyst supporting facilitation of the AI Executive Risk Committee, ensuring strong preparation, materials, and follow-through.

Chief of Staff responsibilities

  • Support PRAD (Privay, Records, AI, and Data) Risk Chief of Staff needs, including budget coordination, leadership team (LT) meeting support, offsite planning, and Board materials preparation.

  • Review outgoing materials to ensure clarity, accuracy, and readiness for enterprise use.

What we’re looking for

  • Minimum 8 years of relevant experience, including at least 5 years in business project management, stakeholder engagement, or process optimization.

  • Bachelor’s degree or MBA in Project Management, Business Administration, or related field; graduate degree preferred but not required.

  • Experience in investment-related or global/multi-country environments is a plus.

  • Knowledge of project management methodologies and tools.

  • Exceptional communication, relationship-building, and influence skills.

  • Demonstrated ability to develop strategic roadmaps and implement process improvements.

  • High proficiency with Microsoft Excel, PowerPoint, Word, and project reporting tools.

  • Ability to manage multiple priorities, organize complex work, and adapt in a dynamic environment.
