Job Description:

Admin Asst, StaffFlex contract

13-26 weeks

$30 - 35/hr

Part-time; 7a - 3:30p; 2 - 4 shifts per week

No PTO

No on-call

  • Responsibilities include establishing and maintaining partnerships with high schools, community-based traffic safety organizations, and AdventHealth Parker hospital staff;
  • Transporting program equipment and supplies to school sites;
  • Facilitating Choose S.A.F.E. activities and hands-on programming directly with students;
  • Supporting school staff and student leaders with curriculum implementation;
  • Managing pre- and post-intervention data collection and reporting; and adjusting programming based on data outcomes, traffic safety best practices, and partner feedback.

Schedules and coordinates meetings, appointments, and travel arrangements for leaders and department staff. Prepares, edits, and distributes reports, agendas, letters, meeting minutes, and other documents. Manages confidential information and handles sensitive matters with discretion. Provides logistical support for meetings, including arranging facilities, catering, accommodations, and technical equipment. Organizes and maintains electronic and paper filing systems for records, correspondence, and other materials. Communicates effectively with staff, leadership, outside callers, and visitors. Assists with special projects and assignments as directed by leadership. Monitors and orders office supplies to ensure the department is well-stocked. Coordinates and supports the onboarding process for new employees within the department. Maintains up-to-date contact lists and directories for the department. Provides administrative support to ensure efficient operation of the office. Other duties as assigned.

Knowledge, Skills, and Abilities:
• Computer skills: MS Office Suite (Outlook, Word, Excel, Publisher, PowerPoint, etc), Internet and other research tools, word-processing and databases [Required]
• Filing skills [Required]
• Knowledge of office equipment use: fax, copier, printer, scanner, binding machine, blackberry, LCD monitors, multi-line phone system, etc. [Required]
• Ability to easily grasp complex situations [Required]
• Ability to work independently and as a team member, as well as accept direction [Required]
• Ability to communicate appropriately with all levels of staff and guests [Required]
• Ability to pass AdventHealth standard clerical skills test [Required]
• Ability to excel in deadline-driven, high-volume environments [Preferred]
• Knowledge and use of AdventHealth main [Preferred]
Education:
• Associate [Preferred]
• High School Grad or Equiv [Required]
Field of Study:
• Associate or 3+ years’ experience
Work Experience:
• 2+ experience in a secretarial role [Required]
• 3+ experience [Preferred]
• Windows Applications: Microsoft Outlook and other office applications, such as, Word and Excel as needed by the department [Required]
