About the Role

We are seeking a detail-oriented Accounting Associate to join our Finance team.  Reporting to the Finance Director, this role is responsible for supporting the day-to-day accounting operations of the business.

The Accounting Associate will own many core transactional accounting functions that ensure our financial records are complete, accurate, and timely.  This position is ideal for someone with a strong foundation in accounting principles and who enjoys working with high volumes of transactions, maintaining organized financial records, solving reconciliation issues, and supporting a smooth month-end close.

This is a hands-on accounting position with a primary focus on transactional accounting and general ledger support. This role is designed to support the Finance Director by managing assigned accounting functions such as payroll, accounts payable, accounts receivable, reconciliations, and general ledger activities, ensuring that our accounting systems are accurate and up to date. 

This is a remote, full-time position requiring occasional travel for in-person events and workshops.  This position may require work outside of standard business hours (board meetings, org-wide events, etc).

This role is not part of the bargaining unit.

Job Responsibilities:

Bookkeeping/Accounting:

A/R

  • Process accounts receivable including:
    • Invoice clients on a daily and monthly basis
    • Monitor and report on payment status.  Post payments received in the accounting system upon receipt
    • Ensure timely recording and reconciliation of non-electronic deposits
    • Ensure timely collection by issuing appropriate reminders and taking appropriate escalating steps for nonpayment
    • Research customer billing questions and resolve discrepancies

A/P

  • Process accounts payable including:
    • Onboard new vendors into Ramp
    • Review invoices for appropriate approvals and general ledger coding
    • Maintain vendor records and resolve vendor inquires
    • Reconcile vendor statements and research discrepancies
    • Monitor outstanding payables and ensure timely payment
    • Ensure 1099s are submitted timely and accurately to the IRS

Payroll

  • Post payroll reports to the general ledger including allocation payroll by class

General Accounting:

  • Assist in the month end close process by reconciling assigned bank and credit card accounts and preparing necessary journal entries
  • Maintain the general ledger recording revenue, expenditures, and paid media spend in the accounting system and supporting schedules
  • Monitor a dedicated email account for accounting/finance related communications and provide timely response/escalation of issues
  • Assist with preparing and assembling financial information for reporting and tax filings
  • Collaborate with the Finance Director to create and track the annual budget
  • Update fiscal policies and procedures documentation for consistent coordination and execution
  • Reconcile paid media balances and prepare refund requests for closed and inactive accounts

Other Duties and Responsibilities:

  • Conduct transaction research
  • Support ad hoc financial reporting
  • Identify opportunities to improve accounting processes and increase efficiency
  • Exercising sound judgement and communication to keep the Finance Director informed 

Requirements

Qualifications:

  • Highly organized with the ability to work with precision and meticulous attention to detail
  • High level of professionalism in handling confidential/sensitive information
  • Excellent written and verbal communication skills
  • Experience working in a startup/growth environment preferred
  • Demonstrated ability to work independently
  • Demonstrated ability to prioritize and manage multiple tasks with attention to deadlines
  • Ability to provide finance related administrative support across the organization
  • Bachelor’s degree in accounting or relevant degree.  Associate’s degree in accounting plus relevant years of experience will also be considered
  • Experience with Quickbooks Online, Justworks, Bill.com, and Ramp preferred
  • Experience with Google Sheets and Excel is required
