Introduction: As a Workflow & Data Coordinator, you will play a vital role in maintaining the accuracy and efficiency of FlyFlat’s Concierge operations. This role focuses on ensuring that workflows, data tracking, and client information remain consistent across Asana, the Concierge Portal, and related systems. Ideal for detail-oriented professionals early in their careers, this role offers an opportunity to grow into strategic operations or systems-focused positions over time.

Responsibilities:

Workflow Monitoring

  • Track daily Asana usage across Concierge sub-teams (Concierge L1/L2, Ticketing, Post-Booking).
  • Ensure tasks are completed, documented, and accurately handed off.

Data Accuracy

  • Oversee client-related data entry, including preferences, payment stages, booking status, and internal notes.
  • Maintain accuracy in the Concierge Portal and Customer Portal through the Trips Interface.

Internal Tool Coordination

  • Track updates across internal platforms used throughout the customer journey.
  • Flag inconsistencies, gaps, or outdated processes and collaborate with Ops Managers on improvements.

System Maintenance & Imporovement

  • Maintain workflow integrity across all operational systems.
  • Over time, propose and contribute to workflow optimization initiatives.

Qualifications

  • 1-2 years experience in travel operations, coordination or related roles.
  • Strong organizational skills with a sharp eye for detail.
  • Ability to quickly learn and adapt to workflow and data tools.
  • Comfort working in a remote, fast-paced environment.
  • Strong communication skills for documenting and surfacing data gaps.
  • Bonus: Familiarity with Asana or other workflow/project management tools.
  • Bonus: Experience in travel operations or customer service environments.

Conclusion: Joining FlyFlat as a Workflow & Data Coordinator gives you the chance to contribute meaningfully to a rapidly growing company revolutionizing the luxury travel industry. Your precision and commitment will ensure the integrity of client data and workflows, helping deliver best-in-class experiences. If you’re eager to grow in operations and thrive in a dynamic environment, this role is your opportunity to make a significant impact.

Compensation and Employment Details:

  • Full-Time Remote
  • Compensation $600 - $700 per month depending on experience.
  • Hours & Time Off: Flexible scheduling, with responsiveness required to meet client needs. FlyFlat values work-life balance and supports rest and recovery for peak performance.

We are excited about the possibility of you joining us in this venture and look forward to seeing the profound impact you will have on our organization.
