Job Overview:
As a Executive Administrative Assistant, you will provide administrative support to senior leaders, with primary responsibilities including managing travel, scheduling meetings, maintaining calendars, coordinating events, and other duties as assigned.
Responsibilities:
Handle all day-to-day responsibilities for the executives supported. This includes and is not limited to scheduling and coordinating meetings and other general administrative functions.
Must be proactive, resourceful, and capable of working independently with minimal supervision or direction.
Extensive calendar management, including scheduling all meetings, keeping executives informed of any changes, preparing necessary materials, and coordinating food and beverage orders when applicable
Travel coordination: arranging all aspects of travel including air, lodging, and transportation in conjunction with the corporate travel department.
Management of expenses: organize receipts and input in Concur in a timely manner to ensure meeting billing schedule.
Prepare and review all meeting documents and departmental communications, ensuring distribution lists are consistently maintained and up to date.
Serve as a go-to resource for executives and other staff members
Create solid working relationships with other administrative staff and others within the department and company
Work professionally with senior executives and clients, properly handle confidential information, and work effectively and efficiently.
Other ad hoc projects as assigned.
Requirements:
3+ years of experience in an executive assistant role supporting multiple leaders at the same level
3+ years of experience and comfort working with high level executives (Executive Vice Presidents, Managing Directors, C-suite executives)
3+ years of experience making travel arrangements and proven success working across multiple time zones
3+ years of experience working with all Microsoft applications - Excel, PowerPoint, Outlook, Teams, Word (MS Office Certification or equivalent operating knowledge preferred)
3+ years of experience coordinating onsite and offsite events, with responsibilities extending beyond basic logistics such as room bookings, invitations, and agenda planning.

Superior writing and editing ability
Excellent oral and written communication skills
Must be proactive in meeting and exceeding needs of leaders and properly handle confidential information

Pay Range:
$25.71-$42.85/hourActual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
