The Human Resources (HR) team works to find, grow and retain talent and build the NGS community. HR is dedicated to designing and building people and total reward strategies that enhance employee culture and the employee experience at NGS. The HR department includes HR Business Partners, Total Rewards & Recognition, Talent Management, and it leads the internship program at NGS.The Total Rewards Operations Support Administrator is a key member of the Human Resources team, focusing on ensuring operational excellence across Compensation, Benefits, and Recognition programs. This role reports to the Director of Total Rewards and requires close collaboration with the Total Rewards team to support initiatives that align with the Society's mission.
Your Impact
Responsibilities Include
Benefits Support (30%)
Manages the processing of the invoices for the Total Rewards team and claims payments for designated benefit plans, including resolving vendor invoicing discrepancies.
Works with vendors to resolve invoice processing discrepancies.
Assist the Total Rewards Partner with benefit plan audits to ensure accuracy of premium and enrollment data.
Assists the retiree and former staff population with general inquiries about their questions regarding retiree medical, life insurance, pension and 401(k) benefits.
Processes life insurance claims on behalf of our active and retiree population.
Assists with the administrative tasks related to the annual open enrollment period.
Responds to employee inquiries by returning phone calls and managing the benefits inbox and Slack communication.
Supports the coordination of information for the annual audits for the retirement plans.
Reward and Recognition Support (30%)
Manages the routine entry of recipient data into the recognition platform and keeps reports for Senior leadership up to date using real time data.
Ensures gifts are claimed in a timely manner.
Assists with maintaining and updating the gift stores within the recognition platform.
Administers and coordinates the annual awards program.
Conducts research to support the improvement of current reward programs and the development of new ones.
Generates quarterly reports for the executive team detailing the utilization of all rewards.
Compensation Support (30%)
Provides support in administrating the compensation tool platform.
Supports the director in completing and managing compensation surveys.
Assists in the annual merit and promotion process by creating editable worksheets for staff and uploading merit data into the HRMS platform.
Processes regular stipends related to compensation components.
With guidance from the director, regularly audits and updates compensation fields on the HR database.
Along with internal communications, keep intranet page for Compensation and Recognition up to date.
Other Team Support (10%)
Improves and maintains the Standard Operating Procedure guide for the Total Rewards team.
Other duties as assigned.
What You’ll Bring
Educational Background
A Bachelor’s Degree or equivalent work experience
Minimum Years and Type of Experience
3+ years of Total rewards or HR experience
Necessary Knowledge and Skills
Strong attention to detail and excellent problem solving skills
Advanced MS Excel and Power Point skills
Exceptional verbal and written communication skills
A self-starter who is able to manage multiple priorities simultaneously, but someone who can also work as part of a team
Experience with HRIS functionality
Ability to maintain confidentiality

Salary Information
The National Geographic Society offers a competitive and holistic total rewards package. Our compensation structure and transparent pay philosophy are based on industry-specific market data for similar-sized nonprofit organizations.
The salary range for this position accounts for a wide range of factors including but not limited to organizational need; specific skill sets; experience and training; certifications; and more. At the National Geographic Society, individuals are typically hired at or near the starting point of the salary range for their role, and compensation decisions are dependent on the facts and circumstances of each case.
The salary range for this position is $64,600.00 - $68,000.00.In addition, the National Geographic Society offers a competitive and comprehensive benefits package that includes, but is not limited to, medical, dental, and vision insurance; engaging and comprehensive wellness program; 401(k) retirement savings plan with matching contributions after 6 months of employment; flexible paid time off benefits with up to 22 days of paid annual leave per calendar year (15 days for new hires in their first year, prorated based on the number of pay periods remaining in the year) and 10 days of sick leave; 12 paid holidays and a paid winter break between December 25 and 31 (May not apply to all roles that are required to work during high volume seasons or essential workers. Job Designation
Remote - Our Remote designation includes staff who must work in another location in the U.S. or abroad, such as our regional leads for our Education and International teams or regional fundraisers in Advancement. Staff may also be designated as Remote by their supervisors (with approval by the Senior Team lead) because of their job duties, and are afforded this status when it is beneficial to NGS, their respective team, and the employee.Candidates must be legally authorized to work in the United States. This position is not eligible for visa sponsorship.
