Position Summary:

Primary responsibility writing and editing detailed technical proposals and project plans for KBI services. Additionally, full ownership and management of the KBI Portal for quote requests.  Proposals cover contract process development, analytics (including rapid analytics), and GMP manufacturing of biotherapeutics. Collaboration with cross-functional teams including Business Development, Process Development, Analytical Development, Manufacturing, and Program Management teams across multiple KBI sites to define project scope, schedule, and costs. Translate client needs into clear deliverables and technically detailed proposals, which highlight KBI’s value and vision to accelerate products to patients worldwide.  

Position may require management of staff. Management responsibilities encompass the review and approval of proposals drafted by subordinates, ensuring alignment with quality standards and strategic objectives. Beyond proposal oversight, the role involves leadership in fostering a collaborative and innovative work environment. This includes providing guidance, mentoring, and support to the team, fostering professional development, and actively contributing to the strategic planning and continuous improvement initiatives of the department.  

This position is a global 100% remote-option role. KBI supports the option for working at any of the KBI sites. Position includes up to 20% travel. 

 

Responsibilities:

Portal Management 

  • Monitor, update and ensure accuracy and completeness of all quotes requested and issued through the Portal. 

  • Create accounts and quote requests through SalesForce. 

  • Work cross-functionally with technical teams on capacity, managing expedited turnaround times, and feasibility. 

  • Work with IT on Portal improvements. 

  • Troubleshoot Portal issues, monitoring via PostHog, and work with Product Owners to resolve issues. 

  • Track Portal metrics via Portal (PostHog) and Salesforce and report to Senior Management. 

Proposal and Change Order Management 

  • Review client Request for Proposals (RFP’s) and discuss with client and KBI subject matter experts (SMEs) to identify and clarify scope of work and deliverables for the preparation of clear and technically detailed proposals. 

  • Lead weekly team meetings (~3/week) to review project status and ensure portal accuracy including tracking arrival of new samples and notification of staff, especially for expedited projects. 

  • Serve as client liaison for business communications, technical meetings, and initial onsite visits. 

  • Develop proposals by assembling information, including project background/history, product design and specific technical information, tasks, objectives, outcomes, deliverables, methods, and budget. Write, revise, and edit proposal drafts, including executive summaries, key assumptions, scopes of work, pricing, and timelines (Gantt charts) 

  • Review proposal drafts with appropriate Subject Matter Experts, Business Development Management and Senior Operations Management. 

  • Emphasize highly technical and accurate proposal approaches to demonstrate value of KBI services to client needs and as supporting rationale for related costs, assumptions and timelines, in accordance with KBI’s values. 

  • Ensure accuracy in proposal content, pricing calculations, timelines, and ensure alignment to service agreements, quality agreements and proposal templates, as needed. Maintain quality results with the use of templates and follow proposal writing standards, including readability, consistency, and tone. 

  • Meet proposal deadlines by establishing priorities and target dates for information gathering writing, review, and approval. 

  • Manage and coordinate proposal development workflow between the business development group and SMEs. Prepare minutes and proposal escalation documents as necessary. 

  • Update and manage the proposal pricing workbooks. On a semi-annual basis, work with SMEs and BD leadership to update pricing models. 

 

Requirements: 

Minimum requirement is a Bachelor of Science with a minimum of 12 years of scientific or biotechnology experience in a research, development, manufacturing or related technical support role; or a Master of Science degree with a minimum of 7 years of scientific or biotechnology experience. or a Ph.D degree with a minimum of at least 4 years of scientific or biotechnology experience. 

 

Also requires a demonstrated track record in the following key areas: 

  • Proven scientific writing skills with the ability to develop, review, and evaluate the content of scientific documentation and collaborate with technical staff to meet agreed upon deadlines.
  • Previous experience with proposal or RFP writing a plus.
  • Ability to work within cross-functional teams to fulfill client needs and expectations.
  • Ability to multi-task and apply time management processes effectively.
  • Capable of handling and prioritizing multiple tasks and deadlines.
  • Strong orientation for quality and customer service along with a high level of integrity and personal responsibility.
  • Analytical strengths with attention to detail and solution-oriented approaches.
  • Experience working both independently and in a team-oriented and collaborative environment.
  • Excellent communication skills to monitor, report, and relate to all levels of the organization

 

Salary Range: $149,815 - $205,996

Salary range provided per current averages and expectations. The salary and job title for this opening will be based on the selected candidate’s qualifications and experience and may be outside this range.
