Your Next Career Opportunity – Senior Payroll Analyst
We are seeking a detail-oriented and motivated Senior Payroll Analyst to join our Payroll Team. Will be responsible for processing multiple company payrolls with accuracy and timeliness using Workday Payroll. This role ensures that all payroll reports, audits, and tax filings are thoroughly completed and consistently comply with all relevant government regulations. Experience with AI‑enabled payroll tools or agents is a plus.
This position supports the execution of payroll operations for the US but will gain knowledge and experience in international payroll as work allows. The role emphasizes the high-quality execution of recurring payroll processes and the support of medium-complexity projects that align with the team’s key objectives. As a Payroll Analyst Senior, collaboration with teammates as well as cross-functional partners is essential to ensure payroll accuracy, regulatory compliance, and overall team member satisfaction.
What You'll Do - Job Responsibilities
- Execute end-to-end payroll processing for U.S. payroll cycles (and occasional international processing support), ensuring accurate calculation, review, validation, and on-time completion across multiple locations.
- Process certified and/or prevailing wage payrolls as required, including accurate classification, reporting support, and issue resolution for job/costing and compliance needs.
- Ensure individual state requirements are met for team members that are on leaves of absence, terminated, etc. and that payroll processing meet all requirements for each state.
- Manage payroll calendars and key milestones; coordinate inputs from HR/Benefits/Finance partners and ensure upstream/downstream dependencies are met to maintain a reliable processing cadence.
- Review, validate, and reconcile timekeeping, pay inputs, and PTO balances prior to payroll close; analyze exceptions and drive timely corrections.
- Research and resolve complex payroll calculations and team member pay issues, including retroactive pay, corrections/adjustments, and payment exceptions (direct deposit issues, lost checks, invalid payments).
- Process special payroll items such as bonuses, equity/stock transactions, and garnishments with appropriate approvals; ensure accurate taxation and reporting treatment.
- Prepare, reconcile, and analyze payroll registers and audit/business intelligence reports; respond to inquiries from team members, managers, and external parties with accurate guidance and timely resolution.
- Ensure payroll reporting, payments, and reconciliations comply with GAAP and applicable federal/state/local regulations; identify risks, recommend controls, and escalate issues appropriately.
- Own payroll tax vendor management: set up and maintain tax jurisdictions in Workday and in parallel, work with ADP to set-up ADP Smart Compliance., Review payroll tax deposits each payroll, resolve tax filing discrepancies, and manage the preparation of quarterly and year-end filings and year-end forms in Workday and ADP.
- Support payroll-related audits (payroll, 401(k), workers’ compensation, and other internal/external audits) by providing documentation, reconciliations, testing support, and timely responses to audit requests.
- Maintain payroll system integrity: import/balance payroll-related data, prepare and test EIBs for payroll inputs, provide support to payroll system users, and maintain unemployment rates and related case management within the HCM system.
- Post GL jobs and partner with Accounting/Finance on variance analysis and process any required adjustments.
- Partner cross-functionally (HRIS, Benefits, Legal, Equity, vendors) to troubleshoot issues and deliver moderately complex payroll projects (e.g., compliance updates, audit preparation, payroll calendar transitions); identify process improvement and automation opportunities and contribute to documentation and knowledge sharing.
What You’ll Need – Qualifications & Requirements
- Bachelor’s degree or equivalent work experience.
- 5+ years of multi‑state U.S. payroll processing and payroll tax experience.
- Experience processing international payrolls through third party provider systems is a plus.
- Certified Payroll Professional (CPP), or Fundamental Payroll Certification or equivalent years of experience is a plus.
- Hands‑on experience with **Workday Payroll** (or Workday HCM with payroll processing responsibility) is required.
- Experience with electronic timekeeping systems and payroll inputs.
- Experience utilizing ADP Smart Compliance and ADP Tax is required.
- Experience with certified payrolls, equity/stock transactions, and job-costing preferred.
- Experience with Accounting/ERP systems.
- Experience with AI‑enabled payroll tools or agents is a plus.
- Strong proficiency in Microsoft Excel (including lookups and pivot tables) and working knowledge of Word, PowerPoint, and Outlook.
- Demonstrated ability to analyze issues, identify root causes, and implement scalable, best‑practice solutions with minimal direction.
- Highly detail‑oriented, collaborative, and comfortable working cross‑functionally in a fast‑paced environment.
- Ability to exercise discretion and independent judgment, evaluate options, and make informed decisions within the scope of responsibility.
