Guild is seeking a highly skilled and dedicated Senior Business Systems Administrator to serve as the subject matter expert and primary administrator for our internal business systems, with a core focus on the Atlassian stack (Jira, Jira Service Management, Confluence, Loom). This hands-on role is responsible for the daily health, optimization, configuration, and maintenance of these critical tools, ensuring they are configured to streamline workflows, enhance cross-functional collaboration, and accurately reflect organizational processes and reporting needs. The ideal candidate excels at translating business requirements into technical configurations and driving operational efficiency.

Key Responsibilities

Atlassian Administration & Optimization

  • Jira System Administration: Perform all day-to-day administration and configuration tasks for Jira, ensuring stability, scalability, and performance.
    • Project and Schema Management: Create, configure, and maintain new Jira projects for teams and manage transitions for existing teams (Kanban to Scrum).
    • Workflows: Design, implement, and modify complex workflows, custom fields, screens, and notification schemes to support evolving business processes.
    • Automation Implementation: Develop and maintain advanced automations using built-in features and plugins like ScriptRunner, ensuring workflows are efficient.
    • Plugin Management: Manage the lifecycle of Jira plugins, including evaluation, installation, configuration, and troubleshooting.
    • JSM Configuration: Design and manage Service Desks, Request Forms, SLAs, Queues, and Customer Portals to optimize internal support processes.
  • Confluence Administration: Own the configuration and structure of our Confluence environment, managing Space Administration, permission schemes, and promoting documentation standards that integrate with Jira.
  • Access Management: Partner with IT Ops to manage user permissions, group access, and offboarding processes across the Atlassian suite to maintain security and compliance.
  • New Tool Evaluation & POCs: Research, test, and run Proof of Concepts for potential new tools and integrations that can enhance efficiency across the organization.

Process Enablement & Hygiene

  • Data Integrity & Hygiene: Proactively monitor and audit data quality within Jira initiatives, epics, and sprints, identifying gaps in usage and collaborating with team leaders and Individual Contributors to ensure accurate and timely updates.
  • Reporting & Data Views: Configure and maintain dashboards, custom filters, and reporting structures to enable accurate, high-level views of the Product organization’s workload (discovery, development, delivery) across Product Pillars and Strategic Initiatives.
  • Training & Change Management: Develop and deliver training, documentation, and enablement resources to drive effective tool usage and ensure teams are maximizing the value of the Atlassian suite.
  • Process Alignment: Ensure the Jira structure and reporting capabilities align with the needs of key organizational communication forums, such as Operating Reviews.

Tooling Support & Maintenance

  • System Administration for Secondary Tools: Provide hands-on system administration, configuration, and user management for connected business systems, including:
  • Aha! Ideas: Manage user access, system design/architecture, training, and ensure proper idea routing and ownership.
  • Span: Maintain system metrics, ensure correct flow of categories to Strategic Initiatives (SIs), deliver Capex reporting, and manage the weekly roster update for accurate team-level and aggregate reporting.
  • Loom: Manage user provisioning, license management, and drive adoption of asynchronous video communication across teams.
  • Tooling Lifecycle: Manage administrative tasks related to tooling renewals (Jira, Aha, Span, UserVoice, etc) to ensure continuity of service.
  • Innovation & Automation: Partner with technology teams to assess how new advancements, including AI, can be leveraged to automate and streamline current administrative processes.
Qualifications

Required:

  • 5+ years of hands-on experience as a Jira Administrator or Systems Engineer focused on the Atlassian stack.
  • Expert level knowledge of Jira Software and/or Jira Service Management configuration, including complex custom fields, permission schemes, and advanced workflow design.
  • Proven ability to implement and manage powerful automation tools (ScriptRunner, Jira Automation).
  • Strong understanding of Agile methodologies (Scrum, Kanban) and their practical application within the Atlassian toolset.
  • Experience with other product management, portfolio, or engineering metrics tools (Aha!, Jellyfish, Planview) is preferred.

Skills and Competencies:

  • Strategic Problem Solver: The ability to see beyond individual requests and design scalable, long-term technical solutions that align with the business's evolving strategy.
  • Stakeholder & Project Management: Proven ability to manage complex, cross-functional tooling projects from conception to deployment, balancing stakeholder needs, technical constraints, and timelines.
  • Detail-Oriented: A passion for clean data, system hygiene, and thorough documentation.

We are committed to equal pay for equal work and believe in compensation transparency. All salary ranges are standardized nationwide and will not vary by region. This role offers a competitive total compensation package, including a base salary of $120,000 - $145,000 and stock options. Compensation offered will be based on a combination of factors such as experience, competencies, and internal equity.
