About the role

We are seeking an organized, detail-driven Sales Administrator to support the efficiency and effectiveness of our sales operations. This role will manage end-to-end sales order processing, track commercial terms, support the RFx process, and ensure the integrity of our CRM data. The ideal candidate will be a strong communicator and problem-solver who thrives in a fast-paced environment and enjoys working cross-functionally across Sales, Legal, Operations, and Finance teams. This role presents a great opportunity to learn, develop and grow within the organization.

Responsibilities

Sales Order Management

  • Manage the order cycle from creation to approval to processing.
  • Create sales orders for ensuring completeness, accuracy, and compliance with company policies.
  • Coordinate closely with Legal and Finance to ensure smooth and timely order execution.

Order Process & Execution

  • Serve as the point of contact for internal teams regarding order status and issue resolution.
  • Maintain documentation of order workflows and identify opportunities for process improvement.
  • Monitor order progress to ensure timely delivery and escalate issues as needed.

 Commercial Terms Tracking

  • Maintain a centralized record of commercial terms agreed upon with customers.
  • Ensure that terms are reflected correctly in contracts, orders, and CRM entries.
  • Support Legal and Finance teams by providing visibility into key deal parameters and concessions.

CRM Data Quality Management

  • Maintain and improve data accuracy, completeness, and consistency in the CRM system (MS Dynamics).
  • Support CRM hygiene initiatives by conducting audits and implementing best practices.
  • Generate and distribute CRM reports and dashboards for sales leadership.

Additional projects as assigned.

Requirements
Qualifications
  • 2–4 years of experience in sales operations, sales administration, or similar roles.
  • Strong understanding of sales order management.
  • High attention to detail and commitment to data accuracy.
  • Experience with CRM systems (MS Dynamics preferred).
  • Excellent project management and organizational skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and cross-functionally in a dynamic environment.
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and collaboration tools like Teams.
  • Strong proficiency in both written and verbal English communication essential for effective correspondence with clients, suppliers, business partners and colleagues beyond the province of Quebec.
