The Resource Coordinator is responsible for tracking all resources/contracts/hours in our central PSA system, Unanet. Partner with the Delivery Managers to assign people to projects based on their skills, previous experience, availability, and project budget. Manage consultant schedules and billable hours using the Unanet system/PSA.  Partner with our clients to plan out the projects. 

A Day in the Life:

    A typical day for the Resource Coordinator includes interacting with the Client Engagement Leadership Team to ensure all CampusWorks resources (employees and contract consultants) are scheduled accurately in Unanet/PSA. The Resource Coordinator ensures that the staff are not overscheduled and that the request from the Client Engagement team align with the contract.

    Additionally, the Resource Coordinator is responsible for interacting with CampusWorks’ clients upon contract signing to ensure the schedule and team is planned out efficiently and meets CampusWorks and the clients’ needs. 

    The Resource Coordinator is familiar with the skillsets of each contract consultant/employee and can easily reference our systems to find the appropriate resource(s) for each new project.

Key Accountabilities:

    Staff Scheduling Responsibilities:
  • Assign available employees/contract consultants to projects in accordance with their skillsets, previous experience, and availability.

  • Handle multiple resourcing demands from a variety of client projects, including strategic, functional, and technical resources.

  • Enter and maintain project plans in Unanet/PSA.

  • Monitor availability and conflicts in consultant schedules and work with leadership and senior directors to resolve.

  • Client-facing scheduling:
  • Coordinate and schedule new project launches with the client contact(s) based on the client's contract and project timeframe.
  • Work with client project leadership to identify resource needs and assign appropriate consultants in a timely manner.

  • Prioritize client satisfaction while keeping in mind CampusWorks' business needs.

  • Resolve scheduling conflicts.
  • Contract Responsibilities:
  • Create new projects in Unanet/PSA based on terms of contracts.  
  • Review plans and budgets on a weekly basis.
  • Maintain accuracy in Unanet/PSA.
  • Reconcilie projects monthly, or as needed ot ensure revenue accuracy.

  • Reporting Responsibilities:
  • Ability to create and disseminate ad hoc reports that help our delivery team manage staff and projects.

  • Maintain staffing reports and provide weekly updates to internal teams.

  • Forecasting Responsibilities:
  • Review revenue forecast and provide clear and accurate answers to questions regarding Monthly tracking, Monthly forecast, variances, overages, and month-end reconciliation.

Qualifications & Requirements:

    Minimum Essential Requirements:
  • Extreme attention to details
  • Understanding of contract language
  • Former client-facing experience
  • Soft skills: Personality that easily connects with people inside and outside an organization
  • Comfortable reaching out to internal colleagues and external clients regularly
  • 5+ years' experience in a Resource Manager, Project Coordinator, or similar role
  • Preferred:
  • Former experience with a consulting/professional services organization
  • Experience with Unanet (or similar PSA)_ 
  • Project management experience
  • College degree
  •
