The RoleWork schedule: Monday to Friday Mountain Time
We are looking for a hands-on Regional Payroll Specialist to lead payroll operations for our western US markets, with a starting focus on Colorado. This is a full-time position with a preference in our office in Denver, CO.
At Abby Care, payroll isn’t just a back-office function - it is core to our business. We employ family caregivers, meaning our payroll operations directly impact the livelihoods of the families we serve. We need a specialist who can ensure accurate, timely payroll delivery while managing the specific compliance requirements of the Western US region.
Reporting to the Senior Payroll Manager, you will be responsible for the day-to-day payroll operations for your assigned region. You will oversee and quality-check the weekly payroll inputs performed by our Payroll Admin team to ensure zero defects. You will also serve as the primary point of contact for caregivers and our market teams to answer payroll-related questions and provide solutions in a timely manner. This is an ideal role for someone who is self-sufficient, detail-oriented, and thrives in a high-volume, fast-paced environment.
Key Responsibilities
Regional payroll processing: Own the end-to-end weekly payroll cycle for the Western US region. You will ensure that our caregivers are paid accurately and on time, following all state-specific laws including Colorado’s COMPS orders and sick leave requirements.
Coordinate regional workflows and conduct QA: Act as the functional lead for a team of Payroll Admins (offshore contractors) responsible for data entry. You will direct their daily tasks, help improve their workflows, and perform rigorous quality checks on all inputs to ensure "zero-defect" payroll before final processing.
Service and support: Serve as the primary point of contact for complex payroll inquiries. You will partner closely with our local market team members to resolve local issues and communicate directly with caregivers to provide clear, empathetic answers to their pay questions.
Benefits and equity administration: Oversee the payroll side of benefits for your region (401k, FSA/HSA, etc.). You will ensure that tax withholdings are precise, deductions are accurate, and any benefits-related payroll adjustments are handled correctly.
Garnishment administration: Manage the end-to-end process for wage garnishments, child support orders, and tax levies for your region, ensuring all legal timelines and reporting requirements are met.
Maintain compliance and support audits: Monitor and maintain compliance with federal, state, and local wage and hour laws. You will support the Senior Payroll Manager in internal audits and ensure all regional payroll records are structured, accurate, and audit-ready.
Data integrity and maintenance: Maintain accurate worker records within our payroll systems. You will audit time-tracking data against manual inputs to resolve discrepancies and ensure high data hygiene.
Scale systems and processes: Partner with the Senior Payroll Manager to identify manual pain points and improve our payroll systems and processes. You will document, streamline, and build new workflows, including exploring and implementing AI-driven tools (like LLMs or automated scripts) to help automate QA, catch data-entry anomalies, and speed up payroll reconciliations.
The Requirements
Experience: 5+ years of hands-on payroll experience, with a focus on high-volume hourly workforces (W-2) and high-growth startups or healthcare.
Western US payroll expertise: You have a solid grasp of Colorado labor laws (COMPS orders, sick leave, etc.).
Uncompromising accuracy: You understand that in our business, a payroll error isn't just a number - it’s a family’s rent or groceries. You have a track record of maintaining high accuracy and being detail-oriented under tight deadlines.
Technical proficiency: You are an expert in modern payroll platforms (e.g., Rippling, ADP, UKG, Workday, etc.) and have advanced Excel skills. You don't just run reports; you know how to manipulate data to find answers.
AI fluency: You are comfortable using AI tools to work smarter. Whether it’s using AI to help audit large datasets, draft clear caregiver communications, or find more efficient ways to validate manual inputs, you look for ways to use technology to increase your impact.
Operational agility: You thrive working in an environment where processes are being built in real-time. You can execute a manual process today while helping us design the automated solution for tomorrow.
Clear communication and empathy: You are a clear, down-to-earth communicator. You can explain complex payroll concepts to a caregiver on the phone with patience and empathy. You treat customer service as a priority.
Modern tech stack fluency: You thrive in a cloud-native environment. You are highly proficient in Slack and Google Workspace (G Suite), using them for rapid communication and real-time collaboration. You are comfortable navigating multiple SaaS platforms simultaneously and prefer agile, digital workflows over static files and email chains.
Bonus Points for:
Healthcare / Medicaid program understanding: Experience with Medicaid-funded home care programs (e.g., HCBS waivers, IHSS, CDPAP) or similar government-regulated payment structures. You understand how state-specific funding rules impact overtime, maximum hours, and pay rates.
Certification: FPC or CPP certification.
Experience coordinating remote teams: You have supported or coordinated the work of offshore or remote teams before. You know how to give clear feedback and keep workflows moving even when collaborating virtually.
Spanish fluency: Fluency in Spanish is a major plus.
Estimated compensation: $68K-98K, offers bonus
