Role Overview
The Proposal Manager manages the end-to-end response process for RFPs, RFIs, and bid opportunities within a Value-Added Reseller (VAR) environment. This role coordinates across sales, technical, vendor, and operations teams to develop high-quality, compliant, and competitive proposals.

Responsibilities include evaluating opportunities, organizing content, collaborating with internal teams and OEM partners, and ensuring accurate, timely submissions that clearly communicate the company’s solutions and value. The role also supports proposal content management and continuous process improvement.

Success requires strong project management, attention to detail, and the ability to manage multiple deadlines in a fast-paced, team-oriented environment.

Key Responsibilities

  • Lead the end-to-end RFx (RFP, RFI, RFQ) response process, from intake and qualification through submission and post-decision analysis. 
  • Manage the opportunity intake and evaluation process, including facilitating Go/No-Go decisions in partnership with Account Executives, Practice Directors, and leadership. 
  • Coordinate cross-functional proposal teams, including SMEs, sales, partners, and subcontractors, to ensure aligned strategy and timely execution. 
  • Develop and manage proposal plans, timelines, deliverables, and task ownership to ensure on-time, high-quality submissions. 
  • Create and structure compliant, compelling proposal responses tailored to client requirements, including executive summaries, cover letters, and supporting documentation.
  • Review, edit, and refine content from multiple contributors to ensure clarity, consistency, and adherence to brand voice and messaging standards.
  • Facilitate proposal strategy sessions, kickoff meetings, status reviews, and stakeholder communications throughout the response lifecycle.
  • Manage all client interactions related to the RFx process, including question submissions, addenda tracking, and procurement portal coordination.
  • Ensure compliance with all submission requirements, including formatting, documentation, certifications (e.g., MBE/WBE/DVBE), and approval workflows.
  • Partner with pricing, finance, and delivery teams to incorporate accurate cost models, resource plans, and solution components.
  • Support shortlisted opportunities by coordinating follow-up responses, clarifications, and presentation materials.
  • Conduct win/loss analyses and lead post-mortem reviews to identify insights and improve future proposal strategies.
  • Maintain and continuously improve proposal content libraries, templates, and processes to increase efficiency and quality.
  • Track and report on proposal pipeline activity, outcomes, and key performance metrics.
  • Support governance, compliance, and contract-related activities as needed.

Role Qualifications

  • 3–5 years of experience in RFP/RFI response coordination, proposal management, sales support, or a related role
  • Write clear, compelling, and error-free proposal responses that translate complex concepts into easy-to-understand language
  • Collaborate with cross-functional teams, including executives and subject matter experts, to gather and refine proposal content
  • Lead interviews, brainstorming sessions, and working discussions to identify key differentiators and value propositions
  • Manage multiple proposals simultaneously, ensuring all deadlines and submission requirements are met
  • Maintain strong organization and prioritization to support a fast-paced, deadline-driven environment
  • Ensure all proposal content is accurate, compliant, and aligned with RFP requirements
  • Perform thorough reviews for grammar, consistency, formatting, terminology, and overall quality
  • Maintain attention to detail across large, complex documents and multiple revisions
  • Utilize proposal management and productivity tools to improve efficiency and collaboration
  • Quickly learn and adapt to new technologies and systems used in the proposal development process

Pursuant to the NYC Pay Transparency Law, the base salary range in New York City for this position is $100,000- $125,000 base salary, plus opportunities for bonus and/or commission. Compensation in other geographies may vary.
