We are seeking an experienced Technical Program Manager to join our athenaIT team. 

Position Summary

As a Technical Program Manager, you will be a member of athenaIT team Project Management Office (PMO) and oversee a complex program of initiatives across multiple functions within our user community. You will be accountable for ensuring well-defined vision and scope, which includes objectives, deliverables, and success criteria for both operational and technical programs.  You will regularly collaborate and communicate with senior and executive leaders, stakeholders, and project teams to ensure transparency and alignment on program status, budget, resourcing requirements, dependencies, risks, benefits, and change management efforts. In this role, you will be responsible for representing interests across athenaIT, ensuring alignment with the PMO’s best practices, and serving as a program management resource within the IT PMO.

Accountability, proactivity, and continuous process improvement are fundamental to this role. Your strengths include strong communication, taking initiative on tasks with minimal supervision, and maintaining a forward-thinking approach. Confidence, tenacity, and self-motivation are essential, along with a relentless drive to enhance and innovate rather than simply maintaining the status quo.

Responsibilities

Program Oversight:

  • Plan and coordinate program activities, including budgeting, resourcing, scheduling, monitoring, reporting, and making necessary adjustments to keep initiatives on track.

  • Provide hands-on leadership for specific programs taking full ownership to ensure successful completion.

  • Utilize a consistent project management methodology, offering regular guidance, coaching, and feedback to teams.

  • In collaboration with Product Managers or Stakeholders, develop clear and comprehensive program documentation, including charters, scope statements, objectives, deliverables, success criteria, roles and responsibilities, etc.

  • Develop and maintain program work breakdown structures, project plans, and leadership scorecards.

  • Facilitate leadership reviews of active programs, preparing all necessary review materials and pre-review activities to deliver high-quality, objective, and transparent, updates and discussions for senior and executive management.

  • Continuously seek opportunities to enhance program delivery and improve processes.

  • Coordinate with IT teams and stakeholders to manage project dependencies and assess risks, ensuring proactive resolution of potential issues

Program Operations: 

  • Support leadership in the effective planning, coordination, and organization of all essential operational information and materials.

  • Serve as the primary resource within the athenaIT PMO.

  • Act as a subject matter expert on the athenaIT Roadmap tool, which tracks IT's cross-departmental project portfolio.

  • Ensure KPIs, metrics and updates are prepared for Monthly Operations meetings.

  • Facilitate quarterly program backlog reviews and resourcing discussions.

  • Frequently assume the role of SCRUM Leader.

  • As a leader within the team, champion program management best practices, escalating as appropriate.

  

Budget & Vendor Management:

  • Support team and program procurement activities ensuring sourcing controls are followed

  • Ensure program budget reviews are accurate and transparent

Education & Experience

  • Minimum of 3 years of program management experience in IT and operational program management, with a demonstrated ability to manage complex business or technical programs.

  • Proven understanding of IT systems, business process engineering, business case development, vendor management and change management.

  • Demonstrated ability to work collaboratively with cross-functional stakeholders, teams and individuals at various levels within the organization.

  • Exceptional communication and negotiation skills, with the ability to drive accountability without direct authority; adept at interacting with and presenting to senior and executive levels.

  • Demonstrated experience in defining and measuring team success via data-driven metrics & reporting.

  • Bachelor’s degree in business or technology, or equivalent experience.

  • PMI Project Management Professional (PMP) certification is preferred; strong familiarity with project management methodologies is essential.

Knowledge & Skills

  • Ability to adapt approach to quickly changing environment, industry, and business demands.

  • Strong analytical, judgement, and decision making, including knowing when to escalate and when to proceed independently.

  • Ability to build strong trust-based relationships across program teams and stakeholders.

  • Demonstrated history of being self-directed and highly self-motivated with a willingness, drive, and interest to learn new things.
