Support and improve company operations by building and running processes, onboarding team members and clients, troubleshooting tools (Slack, Notion, Airtable), assisting with email automation, contracts, and payments, and proactively identifying efficiencies to increase speed and quality.
Vocal is seeking a skilled and motivated Programs Operations Associate to support our growing team. In this position, you will play a critical role in ensuring the smooth execution of our daily operations — working to build, run, and continuously improve the systems that power our work.
This is a full-time role through December 2026, with the possibility of extension. Candidates must be based in the United States.
Responsibilities
- In partnership with the Operations team, create, execute, and improve processes across the company
- Support onboarding and account setup for new team members and clients
- Assist with miscellaneous operational needs as they arise — including supporting email builds and automation workflows
- Serve as an internal resource for team tools and platforms — including Slack, Notion, and Airtable — supporting access, troubleshooting, and general questions as they arise
- Assist with contracts and payments, supporting preparation, tracking, and timely execution in coordination with relevant stakeholders
- Balance speed and quality, with a consistent focus on tangible, measurable results
- Identify inefficiencies and proactively propose solutions to improve how we work.
Qualifications
- 1-3 years of professional experience in organizing, project management, operations, or compliance
- Demonstrated ability to create, execute, and teach a workflow or project management system
- Strong written and verbal communication skills and a commitment to follow through
- Ability to achieve goals collaboratively across departments
- Excellent time management skills — comfortable managing multiple projects and competing priorities under strict deadlines
- Experience with Notion, Google Drive, and Airtable is a plus; willingness to learn is required
- Strong attention to detail and a self-sufficient, organized working style
- A sense of humor, humility, passion for progressive political issues, and desire to be a team player
- Candidates must be based in the United States
