Under the guidance and supervision of the Payroll Manager, with guidance and oversight from the Senior Manager, the Payroll Specialist II will oversee and process the organizations payroll functions by pay group, ensuring the assigned pay groups are processed on time, accurately and in compliance with government regulations.  This position will also serve as back-up to any of the payrolls should a Payroll Support Specialist (II) be unable to process their payroll group (s).  Responsibilities also include the management of the PTO (paid time off) for the Semi-Monthly pay group and Executive Deferred Compensation, as it relates to payroll calculations.   In addition, the Payroll Specialist will be responsible for some HR admin.

Responsibilities: 

  • Full cycle payroll administration from time management to multi-state processing of weekly or semi-monthly and Expat Payrolls.  Ensures time sheets are completed and approved.  Responsible for payroll calculations & adjustments, payroll funding, supplemental payrolls and manual check requests, ACH rejection issues, retroactive benefit deductions, retroactive pays, employee separation and final pays, special additional payments, insurance payments for Expat Payroll, wage garnishments, and child support.  Proactively identify opportunities to improve operational processes and enhancements related to payroll.   Ensures internal controls are adhered to related to Payroll data and employee records.  Liaison between employees and payroll team to answer and assist employee questions within established timeline; also working with benefits and HRBP as relevant.  Leave of Absence (LOA) management for employees within assigned pay group, including coordination with HRBP’s, benefits and 3rd party vendor.  Troubleshoot payroll processing issues and assist with testing new UKG payroll updates or upgrades as directed. 
  • Analyze pre and post payroll audit reports to identify and correct payroll errors using Payroll Software. Provide support for annual audit and year end closing activities. Prepare administrative analyses and reports. Assist with review & preparation of W-2’s.
  • Review and approve new hires, terminations, and other employee changes via workflows. Complete New Hire Reporting every week. Quarterly Dept of Labor Reporting as needed.  Process payment requests for all payroll related invoicing as needed.
  • Monitor Payroll email box and respond to employee questions and issues with tax, benefit deductions and other payroll related questions.

Qualifications:

  • High School Diploma or GED and/or equivalent combination of education/experience
  • 5+ years of full cycle Payroll experience, with 2+ years previous experience with UKGs (formerly Ultimate) UKG Pro (Formerly UltiPro) software preferred.
  • Strong knowledge of Payroll Processing in a large company
  • Multistate payroll experience preferred
  • Basic benefits understanding preferred
  • Strong service orientation and an ability to establish and maintain effective working relationships with peers, office and management.
  • Strong proficiency in Microsoft Office applications, including Word and Outlook
  • Proficiency in Microsoft Excel, especially Pivot Tables and VLOOKUP
  • Strong oral and written communication skills
  • Ability to work independently and with a team
  • Ability to manage multiple priorities and adjust to changing priorities in a professional manner
  • Strong organizational skills
  • Ability to prioritize multiple projects to assignments.
