Job Description

Responsibilities include but are not limited to:

  • Oversee the daily payroll operations for a complex, rapidly growing veterinary services organization of over 4,500 employees across 225 veterinary practices and 130 FEINs within ADP Workforce Now, ensuring accurate, timely payroll processing and robust internal controls.
  • Process and validate weekly and bi-weekly payrolls for multiple entities, ensuring compliance with federal, state, and local laws.
  • Supervise the day-to-day activities of Payroll Leads and Payroll Specialists by providing coaching, guidance, and support while fostering a collaborative, customer-focused, and high-performing team environment.
  • Maintain an assigned portfolio of payrolls while balancing supervisory responsibilities to ensure timely payroll processing, operational continuity, and exceptional customer service.
  • Serve as the primary escalation point for complex payroll inquiries, compliance matters, and payroll discrepancies, ensuring issues are resolved accurately and within established service level expectations.
  • Partner with the Payroll Operations Manager to support employee performance, professional development, onboarding, training, and cross-training initiatives that strengthen team capabilities and operational continuity.
  • Function as a subject matter expert on payroll systems, processes, and compliance while supporting the Payroll Operations Manager and Sr. Director of Payroll with strategic initiatives, process improvements, system implementations, acquisitions, testing, and audits.
  • Partner with HR, Finance, Operations, Benefits, and other cross-functional teams to ensure seamless integration of payroll initiatives and provide outstanding support to internal stakeholders.
  • Identify and implement process improvements to optimize payroll operations. Maintain comprehensive payroll documentation, including Standard Operating Procedures (SOPs), training materials, checklists, and compliance documentation to ensure operational consistency and regulatory compliance.
  • Conduct quality assurance reviews of payroll processing activities, identify trends, provide coaching opportunities, and recommend operational improvements that enhance accuracy and efficiency.
  • Stay current on U.S. payroll regulations, payroll tax laws, and compliance requirements, ensuring adherence to all applicable federal, state, and local laws and timely payroll tax setup and filings.
  • Develop and maintain strong relationships with external payroll and tax vendors while ensuring the smooth operation of payroll systems (currently ADP Workforce Now) and external payroll partners.
  • Support department initiatives focused on continuous improvement, operational excellence, employee development, and delivering an exceptional payroll experience for our practices.

Qualifications

  • This is a critical technical position at AAH that requires attention to detail, knowledge of U.S. employment law, payroll systems, and an understanding of U.S. payroll and payroll tax regulations.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
  • Exceptional attention to detail, analytical thinking, and critical thinking skills.
  • Excellent organizational time management skills to manage multiple, diverse, and potentially conflicting priorities.
  • In-depth knowledge of payroll laws and regulations (FLSA, IRS guidelines, etc.). Multi-state payroll experience preferred.
  • Experience with payroll systems, particularly ADP Workforce Now.
  • 5+ years of progressive experience in payroll operations management with at least 1 year in a leadership or supervisory role.
  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
