Role Overview

The Payroll Specialist is responsible for coordinating payroll administration activities, maintaining employee payroll records, supporting benefits administration and acting as the primary liaison with the Company's PEO and payroll provider. The role ensures payroll information is complete, accurate and submitted on time while supporting payroll accounting, employee onboarding and HR administration activities.

This position is not responsible for processing payroll internally but rather for managing the payroll administration process, reviewing payroll outputs and coordinating with the Company's external payroll provider to ensure accurate and timely payroll delivery. The role supports the broader finance operations function and works closely with the Finance Operations Supervisor, HR and external service providers.

Key Responsibilities

· Payroll Administration

o Prepare and submit payroll information to the Company's PEO and payroll provider.

o Co-ordinate with team supervisors to ensure timesheets are accurate and timely approved for payroll processing.

o Review payroll registers and reports for completeness and accuracy before processing.

o Investigate and resolve payroll discrepancies, employee queries and payroll-related issues.

o Maintain payroll calendars and ensure payroll deadlines are met.

· PEO and Benefits Coordination

o Serve as primary payroll day-to-day contact for the Company's PEO and payroll provider.

o Work closely with HR team, to ensure employee onboarding and offboarding activities are completed timely through the PEO platform.

o Assist employees with payroll, benefits and deduction-related questions.

o Support annual open enrollment and benefit administration processes.

o Maintain employee records relating to payroll deductions, benefits and elections.

o Coordinate required payroll and benefits documentation.

· Payroll Accounting Support

o Assist with preparation and review of payroll journal entries.

o Support payroll-related balance sheet reconciliations.

o Maintain payroll supporting schedules and documentation.

o Assist with monthly payroll reporting and analysis.

o Ensure payroll transactions are accurately reflected within Sage Intacct.

· Employee Expenses

o Lead the implementation and rollout of SAP Concur across Uniphar US, including user onboarding, training, testing and process documentation.

o Serve as key contact for the US liaising with team in Group, maintaining user access, approval workflows, expense policies and system configuration.

o Review and process monthly employee expense reports, ensuring compliance with company policies and timely reimbursement of approved expenses.

o Prepare monthly expense reporting and reconciliations, supporting accurate posting of expense transactions into Sage Intacct and resolving employee expense queries.

· Compliance and Controls

o Maintain confidentiality of employee compensation and personnel information.

o Ensure payroll records comply with applicable federal and state requirements.

o Maintain payroll process documentation, checklists and audit support files.

o Support internal and external audit requests as required.

· Systems and Process Improvement

o In conjunction with HR team. maintain employee information within payroll, HR and finance systems.

o Identify opportunities to improve payroll administration efficiency and data quality.

o Support integration and process improvements between payroll systems and Sage Intacct.

o Assist with implementation of new payroll processes.

Skills & Experience

· Associate's or Bachelor's degree in Business, Accounting, Human Resources or related field preferred.

· 3-5 years of payroll administration, payroll specialist, HR administration or related experience.

· Experience working with a PEO environment strongly preferred.

· Experience supporting multi-state US payroll preferred.

· Experience with Sage Intacct and payroll systems preferred.

· Strong Microsoft Excel skills.

· Excellent organizational skills and attention to detail.

· Strong customer service and communication skills.

· Ability to handle confidential information with discretion.
