ABOUT THE ROLE
We’re looking for an operations generalist to support core operations at a high-growth, mission-driven company. As the Operations Manager at UpCodes, you’ll be responsible for running critical systems that keep the company running day-to-day—from managing contractor payroll and expense tracking to helping plan retreats and onboarding new hires. You’ll also be part of longer-term initiatives like streamlining support systems, building out new automations, and helping assess our benefits and tooling.
This is a highly visible, high-trust role where precision, structure, and follow-through are essential—especially around vendor payments, payroll, and employee experience. You’ll work across departments (including Recruiting, Support, Finance, and Legal). The ideal candidate is scrappy, structured, and excited to wear many hats.
WHAT YOU’LL DO
As our Operations Manager, you'll support critical business functions and help build the operational backbone that keeps UpCodes running smoothly. You’ll work closely with the founders and collaborate with cross-functional stakeholders across the company. In this role, you will:

Keep our systems humming: Process contractor payroll, reimbursements, vendor payments, and stipends. Manage accounts receivables and process user payments. Track budgets, manage invoices, and work with the founders to ensure all payments are timely and accurate. Manage recurring tasks like feedback surveys, account setups, and reports - always with a focus on accuracy, documentation, and continuous improvement.

Support the team experience: Coordinate onboarding and offboarding logistics, answer day-to-day benefits and HR questions, help plan company-wide events (like retreats, lunch & learns, social events), and support culture initiatives like our engagement surveys.

Jump in where needed: Troubleshoot and problem-solve across departments. You'll build templates, refine processes, and take on ad hoc projects that make the team more effective.

Elevate how we work: Spot inefficiencies and bring new ideas for automations, tooling upgrades, and internal improvements (especially around vendors, policies, and benefits).
THE IDEAL CANDIDATE

Experience: 3+ years in an operational role at a fast-paced startup or similar environment with proven experience managing vendor payments or payroll.

Detail-oriented and structured: You spot issues before they become problems. You document clearly, move quickly, and leave things better than you found them.

Highly tech fluent: You’re comfortable with finance and HRIS platforms (ie. Rippling, Xero, Brex, and Deel) and can quickly ramp up on new systems without friction.

Clear communicator: You write well and keep stakeholders informed. You ask good questions and escalate appropriately when something feels off.

Open to feedback: You’re good at managing feedback and using it as a driving force for your work. You thrive in a fast-paced environment, handling multiple initiatives and perspectives simultaneously while maintaining an optimistic outlook. You're open-minded and not afraid to learn through trial and error.
