Job Overview:
We are seeking a proactive and versatile Operations Associate to ensure the smooth functioning of our operations and support business continuity. This role involves training new team members, stepping in when needed across departments, mastering internal tools, and continuously improving processes. The ideal candidate is highly adaptable, tech-savvy, detail-oriented, and thrives in a dynamic environment.

Key Responsibilities:

1. Training & Onboarding

  • Conduct training sessions for newly hired staff on company processes, client requirements, and tools.

  • Develop and maintain training materials, SOPs, and knowledge resources.

  • Monitor trainee progress and provide constructive feedback.

2. Backup Support

  • Provide cross-functional backup support during absences to maintain operational continuity.

  • Quickly adapt to different responsibilities while maintaining high-quality standards.

  • Identify process gaps and suggest improvements for smoother handovers.

3. Tools & Process Mastery

  • Learn and master all internal tools and platforms, including:

    • Salesforce (CRM and client management)

    • GoHighLevel (automation and client pipelines)

    • Zoom (team communication)

    • Google Workspace (docs, sheets, slides, drive management)

  • Serve as a go-to resource for troubleshooting and guidance on tool usage.

  • Document best practices and create guides for efficient tool use.

4. Continuous Upskilling

  • Stay updated with emerging digital tools, platforms, and methodologies relevant to operations.

  • Participate in training programs, webinars, or courses to enhance personal and team skills.

  • Suggest and implement innovative solutions to improve operational efficiency.

5. Operations Support

  • Assist in streamlining workflows, optimizing schedules, and improving task delegation.

  • Monitor and report on team performance, training effectiveness, and task completion.

  • Support management with ad hoc operational tasks as required.

Requirements

Qualifications & Skills:

    • Proven experience in operations, administrative support, or a similar role.

    • Strong ability to learn and master tools quickly, including Salesforce and other business software.

    • Excellent communication, training, and interpersonal skills.

    • Highly organized, detail-oriented, and proactive problem solver.

    • Ability to adapt to varying responsibilities in fast-paced environments.

    • Familiarity with project management, CRM, automation, and collaboration tools.

    • Basic analytical skills to monitor team performance and workflow efficiency.
