Onboarding Coordinator (Contract) @ Midi Health

We are seeking a detail oriented and highly organized Onboarding Coordinator (Contract) to support our People Onboarding team during periods of onboarding growth. This individual will play a key role in ensuring a smooth and consistent new hire experience by managing onboarding communications, tracking attendance and training completion, and proactively guiding new hires through early onboarding milestones. This is an execution focused role designed to provide administrative and coordination support to the onboarding function.

Scope of Work

The Onboarding Coordinator will:

1. Manage the New Hire Inbox
  • Monitor and respond to the onboarding email inbox daily
  • Answer routine onboarding questions
  • Escalate complex issues as needed
  • Maintain clear, professional, and timely communication
2. Guide New Hires Through Early Onboarding Steps
  • Track completion of pre-boarding and onboarding tasks
  • Send reminder emails and text messages to ensure deadlines are met
  • Proactively follow up with new hires who are missing required steps
  • Maintain tracking systems (Notion, Google Sheets, LMS, etc.)
3. Attendance & Orientation Support
  • Take attendance for onboarding sessions and required trainings
  • Ensure all new hires attend scheduled orientation sessions
  • Follow up immediately with no-shows via email and text
  • Maintain attendance documentation
4. Training & Compliance Monitoring
  • Monitor required training completion (LMS, compliance modules, etc.)
  • Send reminders and escalation notices for overdue trainings
  • Maintain accurate records of completion status
5. Administrative & Operational Support
  • Maintain onboarding trackers and status dashboards
  • Prepare onboarding materials as needed
  • Support calendar coordination for onboarding sessions
  • Complete additional onboarding related administrative tasks as assigned
Qualifications
  • 2+ years of administrative, coordination, or operations experience
  • Experience in HR, onboarding, or people operations preferred
  • Strong organizational skills and ability to manage multiple work streams
  • Exceptional follow-through and attention to detail
  • Comfortable sending proactive reminders and holding people accountable
  • Strong written communication skills
  • Proficiency with Google Workspace; experience with Notion or LMS platforms is a plus

Contract Details
  • Contract position
  • Estimated hours per week: 40
  • Rate of Pay: $25-30/hr, dependent on experience and location
