Job Description SummaryCross functional position with emphasis on high level customer service in a large corporate environment for a global client. Communication, troubleshooting skills, professionalism, and ability to adapt to change are essential. Position will require frequent interaction and collaboration with executive administrative assistants. Sort by station and deliver all incoming and outgoing mail, faxes, and copy projects. Receive and deliver all incoming packages (i.e. FedEx, UPS, Airborne, USPS, etc) using firm’s scanning and delivery software. Responsible for stocking requirements, cleanliness in conference/break rooms. Must adhere to all client COVID-19 related protocols. Proper procedures will be set and updated, when necessary, and adhered to at all times.Job Description
- Delivery and pick up and processing of all mail and packages, and faxes throughout floors to and from Office Services.
- Assistance with large volume mailing and shipping projects as requested
- Help keep inventory of all supplies in mail areas. This includes FedEx shipping supplies, client branded letter head, postage stamps, and basic office supplies, boxes, etc.
- Assist and notify end users of mail and shipping procedures (i.e. bulk mailings, international shipping, etc.).
- Aid local facilities coordinator with prompt reporting of maintenance, repair and service needs
- Cover reception desk, tasks and answering phones during breaks, PTO, and unexpected absences
- Aid client with accounts payable functions to include invoice scanning and processing goods receipts utilizing client’s financial systems
- Aid client with large volume document scanning
- Assist client with food set up for meetings as requested.
- Use high speed copiers / printers.
- Troubleshoot all printer errors and report any issues to management
- Support confidential document shredding services.
- Set-up and maintain conference rooms.
- Order office supplies (general supplies, paper, toner, etc.).
- Maintain pantry areas and order pantry supplies.
- Breakroom upkeep as assigned
- Must maintain positive customer relations
- Other duties as assigned.
JOB REQUIREMENTS & QUALIFICATIONS:
- Able to lift 25-50 lbs.
- Valid driver’s license
- High school diploma or equivalent (GED)
- Copier/fax/FedEx/postage machine knowledge
- Basic computer skills
- Utilization of various software systems to manage service requests, and mail delivery

- Good interpersonal skills

- Excellent organizational skills
- Ability to work with minimal supervision
- Outstanding punctuality/attendance record
- Excellent driving record
