We’re looking for a highly organized and motivated Office Manager who thrives in a fast-paced environment and is excited to play a pivotal role in keeping our team running smoothly. This is more than an administrative support role—it’s a unique opportunity to help shape the daily experience of everyone who walks through our doors. From managing office operations and coordinating team events to handling IT logistics and supporting financial tasks, you’ll wear many hats, and each one makes a difference.

At Optimal, we value people who take ownership, think proactively, and are always looking for ways to improve how we work. You’ll collaborate closely with leadership, work cross-functionally with multiple teams, and gain visibility into how a high-performing digital marketing agency operates behind the scenes.

This is the perfect role for someone who is energized by owning a wide variety of different responsibilities day to day, from diving into the small detailed tasks to thinking about bigger challenges and using creativity to solve unique problems. The ideal candidate is ready to grow in an environment where initiative and follow-through are not only encouraged, but celebrated.

Who Are We?

Optimal is a performance marketing agency on a mission, bringing together the best data, technology, and people to achieve our clients’ marketing goals. Brand, campaign, or cause: we maximize performance at every moment.
We are not only digital media strategists – we’re award-winning industry leaders, with deep knowledge spanning all things digital: from advertising and paid media, to marketing and communications, to audience data and analytics, we deliver for our clients.
Everyone at Optimal has the opportunity to learn, grow, and progress. Through our proprietary training programs, we provide our team members with the personal and professional development they need to achieve advancement at any stage in their careers.
We’re always looking for exceptional people to join our team. If this sounds like you, please apply!

Key Qualities:

  • Operational Excellence - You’re organized, detail-oriented, and consistent—someone who can juggle multiple tasks without letting anything slip through the cracks.
  • Calm Under Pressure - Fast-paced environments don’t throw you off. You know how to prioritize and keep projects moving forward, even when the day gets busy.
  • Proactive Mindset - You don’t wait for problems to solve themselves. You anticipate needs, offer solutions, and take initiative—then follow through.
  • Trusted & Discreet - You’re comfortable handling confidential information and understand the importance of discretion and professionalism.
  • People-Centric - You represent Optimal with polish and warmth—whether you’re welcoming guests or building relationships with our vendors. You care deeply about making our staff feel supported and cared for, from small tasks to major life events.
  • Tech-Savvy & Resourceful - You are knowledgeable about computer and internet systems and are ready to roll up your sleeves and fix issues yourself when possible. You’re also willing to learn new tools that help you (and the team) work smarter.
  • Clear Communicator- You communicate early and often—sharing updates, surfacing roadblocks, and ensuring others have the info they need to move forward.
  • Independent & Thorough - You can own entire projects, manage your time well, and think through details that others might miss.
  • Always Improving - You spot inefficiencies, suggest improvements, and are eager to help streamline processes so the team can focus on what matters most.

Essential Functions, Duties, and Responsibilities:

  • Office Hospitality - Open the office, greet guests, manage daily coffee/snack setups, and maintain inventory of supplies, snacks, and peripherals.
  • Event & Culture Support - Coordinate company events, organize staff gifts, decorate seasonally, book travel, and keep internal calendars current.
  • Facilities Management - Handle daily office walk-throughs, address minor maintenance issues yourself, coordinate vendors for maintenance and upgrades, manage janitorial supplies, keycards, and parking passes.
  • IT Coordination - Troubleshoot basic issues, manage inventory of laptops and peripherals, and work with IT on onboarding/off-boarding setups.
  • Accounting Support - Deposit checks, track team budgets, manage expense tracking system, reconcile receipts, support A/P and A/R, and assist with other financial tasks as needed.

Minimum Qualifications & Skill Requirements:

  • 10+ years of professional experience preferred with 5+ years experience in office management, facility management, or administrative role.
  • Strong proficiency in Google Suite, including Google Sheets, Google Slides, Google Drive and Gmail.
  • Highly detail-oriented and organized.
  • Excellent communication skills - must be able to over communicate clearly and effectively to all levels of employees.
  • Bookkeeping experience is preferred.

Optimal is proud to offer the following:

  • Annual base salary range of $65,000 - $70,000 depending upon factors including, but not limited to, experience, skill level, education, and location.
  • Open leave (paid time off)

  • Health insurance (including dental and vision)
  • Flex Spending Plan
  • Employee Assistance Program
  • 401K with company matching
  • Student Loan Repayment Program
  • Professional development opportunities
  • Rewards and recognition programs
  • And so much more!
