The Closing Coordinator is an entry-level operations role responsible for supporting refinance loan closings from scheduling through post-disbursement reconciliation. This role exists to ensure closings are scheduled accurately and on time, required disclosures are properly delivered and acknowledged, and loan files are reviewed for fee, escrow, and payoff accuracy prior to closing. The Closing Coordinator works directly with borrowers, processors, internal closing partners, and title companies to support a smooth, compliant closing experience and reduce downstream post-close issues.
What you’ll do
Contact borrowers within established SLAs via phone and email to confirm closing dates, times, and locations
Review loan files to ensure all required parties have received and acknowledged the Closing Disclosure
Send initial Closing Disclosures when required parties have not yet been properly disclosed
Communicate directly with borrowers regarding closing logistics and expectations
Enter and maintain accurate closing scheduling information in internal systems
Send closing scheduling notifications to title companies and confirm receipt
Escalate loans to Loan Officers, Closers, or Processors when borrowers are unresponsive or issues may impact closing timelines
Review loans in the pre-balance pipeline to support loan readiness for processing
Update title fees in the system based on fee sheets received from processors and title companies
Review escrow and prepaid items to ensure they are set up accurately in the loan file
Review payoff documentation to confirm amounts are current and not expired prior to closing
Monitor the ALTA reconciliation pipeline after loan disbursement
Reconcile the final signed Closing Disclosure with the Final ALTA received from the title company
Provide consistent, high-quality customer service to borrowers throughout the closing process
Perform additional duties as assigned to support closing operations and business needs
Support varying work hours and overtime as required to meet operational demands
What you’ll need
High school diploma or equivalent
Strong written and verbal communication skills
Ability to manage multiple priorities and meet deadlines in a fast-paced, deadline-driven environment
High attention to detail with a strong commitment to accuracy
Comfort reviewing loan documents and working within mortgage systems
Ability to collaborate effectively with borrowers, title partners, and internal operations teams
Flexibility to work varying schedules and overtime as required by business needs
Nice to have
Prior mortgage industry experience, particularly in closing, processing, or post-close support
Experience working in Encompass or a similar loan origination system
Familiarity with escrow, prepaid, payoff, or title fee components of mortgage loans
