Core responsibilities:

  • Marketing Planning
  • • Maintain the marketing production calendar for the Marketing team.
  • • Ensure all key campaign, trade, retail and production requirements are
  • captured in one clear view.
  • • Support the Marketing Manager to ensure all production is planned with
  • sufficient lead time and aligned to brand direction.
  • • Identify calendar clashes, gaps, dependencies and resourcing considerations early and provide resolutions.
  • • Marketing production calendar is accurate, current and maintained in line with agreed timelines.
  • • Campaign requirements are captured clearly.
  • • Production planning is completed with sufficient lead time and aligned to brand direction.
  • • Effective calendar management.
  • Production Readiness
  • • Coordinate the planning required to enable marketing production to be
  • delivered effectively.
  • • Ensure production requirements, timings, briefs, stakeholders, approvals and
  • asset needs are identified early and documented clearly.
  • • Work with teams to confirm what is required, by when and from whom,
  • ensuring all activity is planned before execution commences.
  • • Production requirements are planned with appropriate lead time.
  • • Briefs, timelines and stakeholder requirements are clear before work commences.

  • Coordination
  • • Coordinate the marketing production workflow from planning through to delivery, ensuring each stage is tracked and visible.
  • • Maintain project management tools, status trackers, action lists and workflow documentation.
  • • Ensure agreed processes are followed for briefing, review, approval and handover.
  • • Identify opportunities to improve workflow consistency and reduce
  • duplication or last-minute changes.
  • • Trackers are accurate and up to date.
  • • Key milestones, actions and approvals are clearly tracked.
  • • Agreed processes are followed consistently.

  • Briefing & Timeline Management
  • • Coordinate the briefing process across the marketing team.
  • • Ensure briefs are submitted within agreed timelines and include the required
  • information to support effective delivery.

  • • Work with stakeholders to clarify requirements, confirm timings and ensure
  • deadlines are realistic and visible.
  • • Timelines are clear, realistic and communicated to all relevant stakeholders.

  • Stakeholder Alignment & Communication
  • • Act as a central coordination point between marketing, buying, merchandise, digital, CRM, ecommerce, retail operations and external
  • partners to support the production process.
  • • Facilitate clear and timely communication to ensure stakeholders are aligned on priorities, timelines, actions and accountabilities.
  • • Follow up key actions and ensure the right people are engaged at the right time
  • • Provide support to the team when required
  • • Contribute to a work environment which encourages open and honest feedback.
  • • Stakeholders are informed, aligned and clear on responsibilities.
  • • Communication is timely, clear, and effective.
  • • Actions are followed up within agreed timeframes.

  • Administration
  • • Maintain accurate records and assist with budget reconciliation as required.
  • • Trackers, invoices and receipts are accurate and up to date.
