Job Summary: IAIC is seeking a Legal Operations Specialist to work side-by-side with our Legal Operations Director to manage specific legal operations functions, such as matter management, e-billing, contract management, knowledge management, and training to help ensure that the Legal, Risk & Compliance (LRC) team runs smoothly and efficiently. The legal operations specialist will also assist in: creating processes and practices that improve the day-to-day efficiency and effectiveness of the LRC team; facilitating change; and controlling legal service costs.

This is a generalist role that involves handling and supporting projects across the full range of subject matter supported by the LRC team.

Job Description:

  • Assist with vendor and technology management by: overseeing vendor relationships; identifying and implementing legal tech solutions to streamline new or existing practices, such as e-billing, Contract Lifecycle Management, and Document Management Systems. This includes implementing and optimizing legal operations processes and driving operational efficiencies while also developing, documenting, training, and enforcing internal controls to create consistency.
  • Help reinforce the use of available tech solutions to ensure they are used to their fullest capabilities and that they align with broader enterprise objectives.
  • Assist with legal financial management by overseeing the invoicing and payment process for legal services and working in partnership with our finance and accounting departments to analyze legal spend and to ensure invoices are properly allocated. This includes presenting invoices, approvals, and other requested data to finance and accounting departments to explain, categorize, and justify LRC spend against the approved annual budget.
  • Collaborate with external legal service providers, such as vendors and billing support teams of contracted outside counsel firms.
  • Identify opportunities to develop and maintain a knowledge management system for sharing of legal resources, and to maintain a repository of legal documents, templates, and best practices.
  • Assist with contract administration processes in Zip and/or Ironclad.
  • Create and delivery technical and process training support for the LRC team.
  • Collaborate with cross-functional internal teams, including sales, customer support, IT/technology, finance, and accounting.

Requirements/Qualifications:

  • BA or BS required
  • 1–2 years of experience; clerical experience also preferred
  • Strong critical thinking skills and the ability to make sound conclusions and informed choices by analyzing and evaluating data and information.
  • Demonstrated inquisitive and curious mindset that allows for thinking systematically; recognizing logical relationships; interpreting unstated assumptions; and, rendering judgments.
  • Experience developing forms, processes, and policies.
  • Proven track record of collaborating with cross-functional groups
  • Excellent analytical, problem-solving, and communication skills
  • Support and handle a variety of ad hoc projects within the team as they arise
  • Able to thrive in a challenging environment and successfully manage multiple deadlines
  • Proficient in business applications such as Microsoft Word, Excel, and SharePoint
  • Strong experience in developing, implementing, and using technology solutions (e.g., Ironclad, Xakia, HCue, DocuSign, SERFF, Westlaw, etc.)
  • Able to thrive in a demanding environment and successfully manage multiple deadlines
