  • Discernment: You have a "gut feel" for the nuances of global teamwork. You can review a plan (be it a budget or a travel itinerary) and spot potential conflicts or operational issues before they arise. You provide a sounding board for the leadership team to evaluate the feasibility of new ideas.

  • Tenacity: You are the "closer." When the team brainstorms a Community Seed Bank project or a Face-to-Face team meeting, you are the one who handles the follow-through, helps allocate tasks, and ensures every action item from the meeting notes is marked "Complete."

Key Responsibilities1. Strategic Discernment
  • Monitoring how the team is functioning and advising what support is required to help it function better.

  • Discerning the team’s "capacity to interact" with new ideas and providing or calling for  the necessary support.  

2. Meeting & Project Coordination
  • Calendar: Sending out meeting calendar invites for regular staff and leadership team meetings.

  • Action Item Management: Ensuring clear notes are taken at meetings, with action points for staff set out and regularly reviewed to track progress. 

  • Travel: Supporting with complex travel arrangements, including helping ensure the most effective and efficient travel and event choices are made.

  • Event Support: Assisting in the planning, liaison with partners and registration for major events.

3. Financial Administration
  • Expense Tracking: Monitoring event cost tracking and ensuring reimbursements are processed correctly.

  • Grant Support: Assisting with the administrative side of grant filing and tracking receipt of fees, refunds and income to accounts.

  • Donor Relations: Helping to manage key donor relations, including drafting and sending "Thank You" letters to donors.

4. Systems & Personnel Support
  • HR Liaison: Assisting with onboarding for new staff and coordinating annual reviews.

  • Data Management: Updating personnel records.

  • Communication: Managing the "Administrative Updates" flow, ensuring the team is aware of sabbatical dates,vacation windows and other key information.

Qualifications & Attributes
  • Global Mindset: Comfortable working with colleagues in different continents, with different cultural contexts and backgrounds. 

  • Flexibility: Comfortable with ambiguity and needing to find ways forward within clear parameters, flexible to work outside of usual office hours at times to accommodate people in different time zones.

  • Technical Proficiency: Skilled in hosting Zoom calls, and highly proficient in using Google Workspace.

  • The "Follow-Up" Spirit: An innate drive to finish tasks and a low tolerance for loose ends.

  • Relational Intelligence: High empathy for a team dealing with complex personal contexts (e.g. sabbaticals, family or health issues.).

Discernment & Tenacity: While the team provides the Invention (new strategies) and Galvanizing (getting people excited), you provide the Discernment to say, "This schedule appears too tight for the team's current capacity," and the Tenacity to say, "I’ve followed up three times, and the grant is finally filed."
